      Operations Assistant

      Full-Time (12-month), Exempt, Category 3

      Position Summary

      Full time assistant to Director of Operations at a private 5-12 Christian school. In this position you will work closely with the DOO on projects ranging from day to day operations to large construction projects, including detailed documentation creation, and assisting with a variety of campus management tasks.

      • Familiar with large scale facilities a plus
      • Familiar with commercial construction process and procedure including feasibility design study, preconstruction planning and logistics, and execution of construction documents to completion
      • The ability to read building documents (architectural, structural, MEP, etc.) a plus
      • A willingness to collaborate with others as well as take direction
      • The ability to take organized notes and be able to discern necessary information from fast paced meetings
      • The ability to multi-task and quickly change from one project to another
      • Willingness to ask questions and a strong eagerness to learn

      Requirements

      • Occasional walking/on feet for 8+ hours in a single day including stairs and ladders
      • Required to access heights such as roofs and catwalks
      • Heavy lifting (50lbs)
      • Familiar with Microsoft Office Suite products (Excel, Word, Outlook, Project, OneDrive, Teams)
      • Familiar with ProCore construction management software a plus
      • Familiar with asset management process a plus
      • Basic understanding of building systems (mechanical, electrical, plumbing, data, fire life safety, etc.)
      • Background in the construction or facilities industries 2+ years

      Responsibilities Summary

      • Assist supervisor on day-to-day organizational needs such as document management, follow up communications, communicating with outside vendors, follow through with governing agencies, document storage, meeting with faculty and staff
      • Assist in creating project scope for smaller in-house projects
      • Assist supervisor with management of construction projects i.e., minutes, RFI, submittal review and organization, data organization, meeting with vendors/subcontractors, etc.
      • Research various products required for a variety of projects, summarize and present best options for use and value considerations
      • With help of supervisor create and maintain data management systems i.e., spreadsheets, project/construction schedules, past, present, and forecasted utility usage, etc.
      • Review and track utility charges and perform year over year comparisons while investigating anomalies
      • Review multiple budgets with supervisor and assist in creating forecasts for short and long term expenditures
      • Review Capital Reserve Studies and update on a regular basis
      • Review ongoing and regular purchases with supervisor and maintain data tracking systems
      • Occasional interaction with Building Departments including permitting and inspections with building officials
      • Review and organize historic campus building documentation
      • Office environment/field 75%/25%
