      The Operations Coordinator for Alexandria LaunchLabs – NYC will be responsible for independently leading the day-to-day operations of the Alexandria LaunchLabs site, assist LaunchLabs member companies with administrative and coordination matters, and provide best-in-class membership services and programming. The ideal candidate is an outgoing, hospitality-focused, detail-oriented individual interested in contributing to the growth of the entrepreneurial life science ecosystem in New York City. A strong in-person presence and excellent communication and organizational skills are required.

      Essential Duties and Responsibilities:

      Operational Coordination & Administration

      • Serve as main point of contact for all facility and operational matters.
      • Support site operations and administration duties, including but not limited to:
      • Managing space, equipment resources, and associated IT/AV needs;
      • Managing LaunchLabs member portal and associated visitor, IT, and facilities requests;
      • Assisting in ordering, organizing, and stocking laboratory supplies;
      • Maintaining and managing vendor contracts;
      • Assisting with invoicing and billing;
      • Organizing, stocking, and maintaining the office and pantry;
      • Assisting with shipping and receiving; and
      • Gathering and distributing mail and packages to member companies.

      On-Site Reception & Member Support

      • Provide exceptional customer service to LaunchLabs member companies for all on-site operational needs.
      • Lead onboarding and orientation for new members.
      • Assist with recordkeeping of onboarding and training documents and exit procedures for member companies; and provide periodic member status reports.
      • Maintain site resources, events calendar, and member guide on LaunchLabs portal.
      • Support official member communications regarding the LaunchLabs sites and campus.
      • Coordinate site access for members and guests, liaising with security team as appropriate.
      • Triage requests from LaunchLabs member companies, connecting them with LaunchLabs resources and experts in the Alexandria networks as appropriate.

      Programs & Events

      • Assist leadership team in coordinating logistics for, marketing, and hosting local ecosystem and strategic programming events to foster a vibrant and collaborative LaunchLabs community, including in the form of business and professional development sessions, social gatherings, and complementary programs.
      • Support the execution of regional events, workshops, and programming to maximize LaunchLabs’ value and expand Alexandria’s reach and depth within the NYC ecosystem.

      Qualifications and Experience:

      • Interest in and a strong track record of consistently delivering outstanding customer service and operational performance, ideally in a shared-office environment.
      • 2+ years’ experience supporting and executing events that bring different sets of stakeholders together in a collaborative way.
      • Strong time management skills, including the ability to thrive in a fast-paced work setting and to prioritize effectively in a multifunctional environment to ensure all responsibilities are completed in a timely manner.
      • Strong attention to detail and organizational skills.
      • Highly collaborative and team-oriented mindset.
      • Strong verbal and written communication skills, including the ability to interact professionally and confidently with individuals across various roles and levels.
      • Bachelor’s degree or equivalent required.
      • Interest or direct experience working in a shared/collaborative work environment supporting life science-related organizations or companies.

      The expected base hourly wage range for this position is $33.66 to $40.87 USD hourly, plus annual discretionary bonus. This hourly wage range is an estimate, and the actual hourly wage may vary based on the consideration of many factors, which may include, but are not limited to: the individual’s knowledge, experience, education, qualifications, skills, job location, and the Company’s compensation practices.
