      The Operations Coordinator provides support to the Operational Services department during key organizational changes, while following MMA Midwest’s best practices during all initiatives and projects. Partnering with Business Process, Information Technology, Client Services, and other regional departments, the Operations Coordinator assists in improving our business by balancing technological capabilities and the resources required to transform conventional ways of operating to maximize employee efficiency and client satisfaction.

      Digital Experience

      • Assists in implementing new solutions, which maximize efficiency by seamlessly connecting people to resources needed to execute within their roles; explores new ideas, tools, processes, and systems that drive a more connected experience.

      • Collaborates with project teams to implement enhancements to various technology platforms, including Power Automate, Microsoft 365/Forms, Smartsheet, SharePoint, and other custom-developed applications.

      • Partners with Client Services and Business Process to help implement solutions for existing deliverables and processes, allowing for a connected client experience and enhanced ease of doing business.

      • Serves as a liaison between employees and technical teams, building an understanding of both (IT) system requirements and business user needs; gathers employee feedback and recommendations to improve systems, processes, and resources within the context of the overarching strategy.

      Process and System Administration

      • Works cohesively with internal departments to ensure timeliness in administering specific employee and client-facing systems; partners with Business Process, Information Technology, and other departments to implement the product strategy and integrate technology into workflows and processes.

      • Administers components of the company intranet, SharePoint, including team results, site updates, enhancement projects, and ticketing support.

      • Owns the employee lifecycle process for all events, including completing checklists, providing minor updates to process automation, and updating the Access Rules document.

      • Provides general support and QA testing for the regional Reporting Tool, Employee List, Org Chart, ServiceNow, and Deliverable Generators.

      • Administers various custom applications and documents requirements and key meeting notes.

      • Makes recommendations for how enhancements and new features of systems can be implemented to make improvements to the business.

      • Considers agency management systems, reporting tools, client portals and other available technology and software when collaborating on new processes; develops an awareness of the impact and consequences of business process design decisions.

      Privacy and Security

      • Fields permission change requests and escalates issues as needed; documents exceptions and maintains access control lists.

      • Sets the appropriate permissions for users moving through the employee lifecycle, following all security processes and standards.

      Change Management

      • Establishes an understanding of change management principles and MMA Midwest’s best practices to help foster an interdisciplinary approach and engage other departments to achieve desired results.

      • Clearly documents and effectively communicates changes, new processes, or updates in all appropriate locations.

      • Identifies the impact on stakeholders when implementing a change management strategy; leverages project planning and tracking tools to keep all stakeholders informed, aware of key milestones and progress toward desired results.

      Peer Relationships

      • Strives for successful and effective working relationships with Business Process, IT, Client Services and other agency departments.

      • Strives to learn and grow by demonstrating initiative on a daily basis

      Required

      • Strong communication and organization skills

      • Ability to leverage technology and quickly learn new technologies from agency management systems to the Microsoft Office product suite.

      Preferred

      • BA/BS in Business or related field

      • 1+ years of experience in a client facing or operational role within an insurance agency

      • Functional knowledge of Microsoft SharePoint or Power Automate

      • Functional knowledge of Atlassian Jira

      • Producers License (in state of residence) for Fire, Casualty, Health, Life or other specific licenses as required
