Job Description

Responsible for managing the openDemocracy office ensuring a comfortable environment for staff including liaising with the landlord and negotiating lease terms
Develop and maintain efficient processes to ensure the office functions effectively, including researching, proposing and implementing software that could support these improvements
Managing suppliers, maintaining contract records, researching and identifying potential new suppliers as needed
Prepare openDemocracy Board and Committee meeting papers, taking minutes and follow up on actions
Booking travel for staff, contractors and partners based in the UK and overseas
Maintain the digital filing systems ensuring DPA/GDPR compliance
Supporting staff members with IT queries
Manage access to organisational platforms and subscriptions
Support CEO with organisation business and travel insurance
Supporting senior staff with administrative duties
Updating our HR system (Bob) and associated workflows
Support HR with issuing any formal letters or contractual changes
Supporting the HR manager with the recruitment process
Lead on the operational onboarding of new staff and freelancers
Work collaboratively on organising staff training, away days and conferences
Financial Administration
Assist the finance team with occasional payments and approvals
Assist the team with bank queries and mandates
Support the team with system set up, access and payment platforms
Support the team with organisational and funder audits
Responding to Donor queries
Adhere to and promote the policy for equality of opportunity in all aspects of work
Maintain the highest professional standards at all times to maintain and improve the reputation of openDemocracy, helping to ensure that all work is delivered within agreed budgets, time scales and specifications

openDemocracy is looking for a highly organised and strong communicator to support our brilliant operations team at a time of growth.
The position is a multi-functional role, responsible for leading on the administration and coordination of all key parts of the organisation's operations, including HR and finance. You will also be responsible for running our office in London.
Location: London based - hybrid
Salary: £33,000 per annum
Contract: 12 month fixed-term contract, renewal subject to funding
