Position Summary:
The Operations Coordinator fulfills a crucial role in ensuring the efficient functioning of day-to-day operations of the ProTech maintenance service team at CSM. This position serves as the main contact for service-related needs from customers, including commercial tenants, property managers, residential managers, hotel managers and other internal and external customers. The Operations Coordinator is primarily responsible for receiving ProTech maintenance work orders, coordinating schedules, and providing operational support to the ProTech maintenance team. Additionally, the Operations Coordinator is responsible for providing basic back-up support for the Operations Manager.
The Schedule for this position is Monday - Friday, 7:00am - 3:30pm
Pay Range: $26.00 - $33.00 per hour
Key Responsibilities
Operations Coordination: Gather information from customers regarding work orders, schedule ProTech maintenance technicians, communicate with customers, enter accurate billing rates, verify equipment and supplies, and initiate billing. Maintain the work order and billing software database known as Facility Manager. Assist Operations Manager and plan all activities and schedules for the ProTech maintenance team. Provide timely, professional and positive communication to customers on service work orders.
Administrative Support: Maintain accurate records of company vehicles, tools, equipment and trailers. Collect payments from customers (both internal and external). Assist Operations Manager when preparing bids for repairs and reconciling jobs and/or construction projects. Maintain HVAC maps for each customer. Reconcile credit card statements on a monthly basis. Utilize GPS tracking software to verify location of maintenance team and to ensure fleet personnel efficiency.
Customer Service: Develop and maintain professional relationships with internal and external customers through effective and timely communication, including verbal (in person, over the phone) and written (email, text). Inform the Operations Manager of any significant problems or issues that require immediate attention.
Special Projects: Coordinate team meetings and outings. Assist Commercial Department with various administrative projects. Enter and submit service information to the Legal department for ProTech related contracts.
Self/Workload Management: Responsible for effective self/workload management. Foster collaboration and a positive and professional work environment, living CSM’s Values. Attend all mandatory department and company meetings. Adhere to all CSM Standard Operating Procedures.
Position Requirements:
Education: High school diploma or GED required.
Experience: Three (3) to five ( 5) years of work experience in customer service, administrative work and problem solving. Maintenance knowledge or experience is preferred, but not required.
Additional Requirements : Detail-oriented with strong verbal and written communication skills. Able to communicate and coordinate with individuals at all levels within and outside the organization. Proficient in word processing and spreadsheet software such as Microsoft Word and Excel. Able to manage multiple priorities in a fast-paced environment.
