      Here's a summary of responsibilities:

      Serve as primary liaison to all incoming OPTC program requests to fulfill training, competition, and meeting requirements to ensure user satisfaction through effective communication and interaction with coaches, National Governing Body (NGB) program leaders, community agencies, Sports Medicine, and OPTC staff. Support the Operations team at the Olympic & Paralympic Training Center (OPTC) in Colorado Springs, primarily maintaining program requests and scheduling. Assist in maintaining data integrity in the housing management platform.

      Here's how you'll have an impact:

      Program Operations

      • Act as the lead coordinator for NGB training special and user day requests and direct all aspects, including training and competition schedules, program rosters, athlete program supervision, transportation, and special program requests (meeting rooms, special meal requests, vehicle requests, performances services, etc.) with NGB program coordinator. Develop and maintain communication with NGB program coordinators/coaches to promptly ensure all program requirements are met.
      • Coordinate all internal USOPC meeting room requests for the CSOPTC. Work directly with USOPC departments to determine program needs and communicate those details to interior areas, ensuring the housing management platform is updated accordingly.
      • Serve as the primary contact to NGB program leaders for all NGB community requests and programs. Work directly with each NGB to determine approval and all necessary program details for each community group at the OPTC.
      • Manage all components of requirements for OPTC paperwork, SafeSport training, and Background Checks, as needed, for all training special programs, community programs, and program participants.
      • Prepare all end reports on training special, user day, and community programs at their conclusion. Manage invoicing process with the USOPC Finance team. Develop billing statements for CSOPTC that reflect accurate charges, including SafeTrip charges, room damages, and/or other additional program charges after the program, and prepare a final invoice for each program, as needed, based on funding status determined by Sport Performance.
      • Oversee all NGB's requests for short-term programs with only facility users.

      Database Operations

      • Coordinate the scheduling of all CSOPTC programs, in conjunction with the Operations Manager, to ensure data integrity and consistency are concurrent across multiple CSOPTC departments through utilizing the housing management platform.
      • Update and maintain accurate participant records in the housing management platform at the direction of the CSOPTC Operations Manager.
      • Assist the CSOPTC Operations Manager in creating and maintaining standard operating procedure documentation for the housing management platform and OPTC's resource manual.
      • Maintain the Occupancy and Conference Graphs for all department events, including creating and posting new events; ensuring that event information is complete, accurate, and current; and modifying or canceling event information as necessary.

      Department Operations

      • Assist the CSOPTC Operations Manager in determining a master schedule for each calendar year, including but not limited to housing, gym spaces, meeting rooms, and vehicle usage. Assist in coordinating services with other CSOPTC departments to ensure CSOPTC is prepared for upcoming programs.
      • Assist and provide support at the Athlete Center Registration Desk
      • Assist the CSOPTC Operations Manager with the front desk schedule.

      Here are the skills and experience you'll need to be effective:

      • Bachelor's degree, preferably in Sports Management or Athletic Administration, or equivalent work experience
      • Minimum 2 years of professional experience in sports organization or housing, program management, or closely related field
      • Experience working with external customers
      • Skilled word processing and data entry/database management experience
      • Excellent written and oral communication skills
      • Ability to prioritize work projects when dealing with several different programs at one time, multi-tasking various tasks
      • Strong interpersonal relations skills, sound judgment, professional demeanor, and patience, with an emphasis on customer service and attention to detail
      • Strong computer skills, including proficiency with Microsoft applications including Word, Excel, Outlook, and PowerPoint

      • Hiring Pay Range: $22.65 - $26.62 per hour.
      • This full-time, non-exempt position is intended to work 40 hours per week.
      • Bonus: This position will be eligible for the Annual Incentive Award Program at a 5% target. This program is subject to change or elimination by the USOPC at any time at its sole discretion.
