      Overview

      Position Summary

      The Operations Specialist manages the day to day operations in two or more functional areas - warehouse, export, import and/ or accounting in a “small” or “medium” sized branch office in the International Division of Yusen Logistics (Americas) Inc. The position is responsible for ensuring efficient operations and delivering exceptional customer services in the assigned areas of operations.

      Responsibilities

      Essential Duties and Responsibilities

      Warehouse Operations:

      • Examine contents of shipment and compares with records, such as manifests, invoices, bills of lading and other records to verify accuracy of incoming or outgoing shipment.
      • Report and resolve shortages, damages, non-conformances, and other discrepancies
      • Monitor shipping schedule to ensure shipments are being made accurately and in a timely manner.
      • Supervise TSA screening of cargo by physical screening method or CCSF provisions, including record keeping requirements.
      • Abilty to operate a forklift

      Export Operations:

      • Take booking requests, ensure bookings are made at current and accurate rates, consolidate and route shipments in the most cost effective and time efficient route.
      • Communicate with carriers, origin and destination locations regarding shipment status, special handling and delivery processes.
      • Monitor and manage shipments until completion. Keep customers apprised of all related activity including timing of arrival and delivery of cargo.
      • Ensure accuracy and completeness of export documentation – review and verify documentation and obtain any missing documentation from the customer.
      • Ensure standard operating procedures are in compliance with TSA, ISO, TAPA, IMDG requirements.

      Import Operations:

      • Perform import activities including break down of consolidated shipments, limited processing of import entries and, data entry such as arrival times, proof of delivery, etc. into YUNAS/GDS.
      • Communicate with overseas offices, agents, customers and domestic vendors – notify arrival of shipments, distribute documentation, track movement of shipment from origin to destination and proactively communicate status of shipments
      • Handle accounting processes as they apply to the Import department - prints invoices for HAWB amends incorrect air freight rates, transfer fees; revises prepaid/collect charges , files claims in case of damaged goods”
      • Familiar with CHB processes

      General Administration & Accounting:

      • Ensure timely and accurate processing of payment to vendors.
      • Monitor accounts receivables and ensure timely and accurate receipt of payments
      • Reconcile bills, checks balances, follow up on discrepancies and maintain vendor files
      • Communicate with vendors to resolve problems and/or provide information
      • Order office supplies and monitor their inventory levels
      • Perform other duties and projects as assigned.

      Qualifications

      High School diploma or GED and three to five years of experience in the warehouse, export and/or, import departments of a Freight Forwarder. An equivalent combination of education and experience may be considered.

      Essential Job Functions

      • Must possess excellent customer service skills with the ability to grasp extensive knowledge while dealing with a variety of people.
      • Must have strong organizational and time management skills.
      • Ability to organize and manage multiple priorities.
      • Knowledge of import administration regulations (if responsible for import department functions)
      • Knowledge of export administration regulations (if responsible for export department functions)
      • Knowledge of basic accounting as it relates to A/R, A/P and Import billing, if required

      CERTIFICATES, LICENSES, REGISTRATIONS

      • Forklift Certification (if responsible for warehouse operations), HAZMAT Certification (if responsible for warehouse and/or export operations)
