- High school diploma or its equivalent required.
- Must possess proficient computer skills.
- Must have excellent time management and organization skills, as well as the ability to prioritize tasks in a high volume practice.
- Must have professional and effective communication and customer service skills, and be able to deal with many different personalities.
- Must be able to work both independently and as a member of a team and be willing to assist other team members as needed.
- Knowledge of insurance to include pre-authorization requirements, insurance payments and self payments preferred.
- One year of office experience required, preferably in the medical field.
- Greets patients/visitors in a professional, courteous and helpful manner as they are concluding their visit. Delivers exemplary customer service.
- Acquires and routes orders.
- Schedules appropriate follow up appointments as requested by the physician.
- Follows policies and procedures when scheduling MRI’s, CT’s, Ultrasounds, Consultations, etc.
- Reviews the proper paperwork that is requested depending on what test the patient is having done; obtains signatures if necessary.
- Reviews order for accuracy, to ensure correct facility, body part and diagnosis are noted.
- Understands when scans need contrast and when they do not. Determines if an order needs changed and follows policy to obtain necessary changes.
- Reviews Contrast instructions with patients who are having CT’s done with contrast.
- Obtains signatures on required checkout/scheduling forms and scans them into the patient’s chart.
- Faxes orders to correct facilities if insurance does not cover, if benefits are reduced coming to our facility or if the patient prefers scheduling at another facility.
- Interacts with clinical staff and physicians on a daily basis.
- Calls patients to schedule appointments over the phone when they are not in the office.
- Registers patients for his/her scheduled visit with the provider. Verifies patient demographic information and updates computer system as needed.
- Scans patient identification and patient insurance card/cards and verifies benefits and eligibility information.
- Verifies managed care referrals are on file when necessary per insurance requirements.
- Collects copays and outstanding balances from patients.
- Answers telephones promptly, identifies self and directs calls as appropriate.
- Provides coverage for other schedulers and receptionists during absences.
- Travels to other offices when there is an organizational need to provide coverage for the physician schedules.
- Maintains a positive and professional attitude towards patients, co-workers and physicians.
- Keeps work area orderly and neat.
- Demonstrates flexibility in performing additional responsibilities that contribute to the improvement of patient care and the well being of the Practice.
- Handles difficult situations tactfully.
- Issues work and/or gym notes.
- Reconciles daily payments.
- Participates in monthly staff meetings, attending even when held outside of normal scheduled working hours.
- Other duties as assigned.
Job Summary
The basic function of the Scheduling Representative is to efficiently schedule the patient’s diagnostic studies, consults and follow-up visits/services in a friendly, accurate and efficient manner including processing all office visits according to the standards established by the organization .

Must be proficient in the English language, both verbally and written, in order to communicate effectively with patients, co-workers, physicians, vendors, and the general public.

Light physical effort; some standing, walking, bending, reaching, stooping; manual dexterity to operate keyboard and other equipment; detail oriented; able to maintain a pleasant and courteous demeanor under all circumstances.

WORK ENVIRONMENT:
