      Description

      Associa is hiring a Part Time HOA Community Manager for its community in Fairfax, VA.

      The Part Time HOA Community Manager is responsible for assisting with community activities and administrative tasks, providing customer service support, and works closely with the Community Portfolio Manager, Board of Trustees, and Association committees.

      Candidate must have 5+ years of direct community association management experience.

      Work schedule: (3) 8-hour weekdays (flexible)

      Daily responsibilities:

      • Work (3) days a week from the Corporate CMC office located in Chantilly, VA.
      • Go onsite for inspections on an as needed basis, location is Fairfax Station, VA.
      • Respond to phone calls and emails.
      • Maintain records, files, and data entry.
      • Coordinate and schedule maintenance contractors and vendors onsite.
      • Establish and use systems to enable tracking or work in progress and plan for future activities.
      • Manage all communications to include weekly mass emails, create and edit quarterly newsletter, correspondences, memorandums, reports, and other business materials as directed by the Portfolio Manager.
      • Provide a weekly management report to the Board.
      • Schedule and create the agenda for monthly Board meetings. Assist in assembling board packets. Send mass email reminders to the homeowners reminding them of the monthly board meetings.
      • Attend Board of Directors and Committee meetings as needed.
      • Conduct drive by/walk throughs of the community to note any maintenance and architectural concerns.
      • Submit work orders, update work orders, close out work order.
      • Create and send HOA violation letters to homeowners.
      • Other duties as assigned.

      Qualifications

      • 5+ years of experience in HOA Association Management.
      • Knowledge of the relationship among homeowners, Board of Directors, and the Management Company.
      • Understanding of budget preparation, RFP process, architectural review process, HOA Code and Covenants.
      • Customer service driven, team oriented, and excellent communication skills (written and spoken).
      • Ability to prioritize time and manages projects effectively while maintaining deadlines.
