      Job Description:

      Reporting to the Academic Manager for AC Online, the Online Learning Field Placement Officer, plans, organizes, manages and oversees Learner Field Placements for assigned programs in consultation with the Online Learning Pathways Advisor(s) and Program Support Specialist. On an on-going basis, the incumbent provides guidance and advice and recommends workable solutions to Field Liaisons/Supervisors and Agency Site Supervisors concerning field placement related problems and issues. The incumbent is responsible for all online programs, including, but not limited to, Early Childhood Education, Autism and Behavioral Science, Addictions and Mental Health, and Community and Justice Services with the addition of multiple part-time programs.

      Duties and Responsibilities:

      • Arranges and co-ordinates learner placements for three semesters annually for online programs. The incumbent:

      • Determines and manages lists of learners scheduled for placement;

      • Reviews learner information and creates data sheets;

      • Contacts agencies to solicit placements;

      • Reassesses placement sites on an ongoing basis;

      • Obtains confirmations of placement opportunities for eligible students each term;

      • Notifies learners of placement requirements and arranges interviews as required ;

      • Ensures confirmation letters and accompanying paper work are forwarded to sites who are hosting learners;

      • Prepares and manages placement lists;

      • Compiles, reviews, and distributes (or posts) field placement materials to field placement liaisons/supervisors, learners, field placement sites, program support staff and learner success advisors;

      • Provides support to field placement liaisons/supervisors and site supervisors;

      • PAC and PQR meetings/ Facilitate and attend FL meetings/ Ontario Provincial meetings (ABS );

      • Supports learners in the understanding of the ParaMed clearance process through use of the database prior to placements;

      • Managing of 430 lists for all FT Field Placement Programs;

      • Update Brightspace courses each term to reflect placement requirements.

      Maintains liaising relationships with key stakeholders involved in field placement including:

      • Online Learning Pathways Advisors and Program Support Specialists;

      • Learners who have exceptional needs and/or require clarification and/or replacement;

      • Registrar’s Office in order to accept or cancel student applications from the 430 lists;

      • The Registrar’s Office to provide part-time approval lists;

      • Placement sites (through regular contact and appreciation events );

      • Other Algonquin College departments and programs e.g. Community Studies Department, Wellness, Research and Innovation Department, ParaMed , Centre for Accessible Learning (CAL);

      • Relevant internal and external committees and related community initiatives.

      Recruits new placement sites by:

      • Reviewing updated childcare centre listings through the City of Ottawa, along with the recruiting of external agencies outside our 60km local radius;

      • Responding to information from media, colleagues, community contacts, etc. regarding potential new placement sites;

      • Contacting sites/agencies to promote and market programs and to gauge suitability for program placements;

      • Arranging site visits to prospective locations;

      • Explaining expectations and responsibilities for field placement site approval;

      • Assisting in the determination of the suitability of prospective sites for placement learners.

      Records and administers student data:

      • Managing of 430 lists for all FT Field Placement Programs;

      • LMS updates and announcements;

      • Creating student eligibility lists through the use of Salesforce for FT programs and PT programs and request specific program data downloads from Senior Programmer Analyst as needed for the PT programs;

      • Creates Master List of potential placement students by compiling multiple excel files;

      • Maintains accurate and current information using Excel spreadsheets or other required technology, e.g. CRM, Salesforce, ParaMed database, Brightspace;

      • Collects, collates and reports Workplace Safety and Insurance Board statistics for the program;

      • Communicates regular updates regarding Criminal Record Check and immunization policy to all placement participants (field sites, program advisory committee, manager );

      • Maintains an ongoing relationship with Program Support Specialist (PSS) and Online Learning Student Advisor to ensure conformance with academic rules and regulations;

      • Processes and reviews all field placement forms, updating with new forms as required Archive old forms;

      • Liaises with organizations such as ParaMed ; checks learner clearances and notes any learners with exceptions or not clear statuses and takes steps to ensure learner is cleared prior to starting placement;

      • Refers all learners with a non-clear PRCVP to the Academic Manager.

      Required Qualifications:

      • Minimum two (2) year diploma or equivalent;

      • Minimum two (2) years experience in the following;

      • E xperience in delivering learner service to an online, diverse clientele, preferably in an educational setting would be considered an asset ;

      • Highly effective organizational skills with keen attention to detail;

      • Demonstrated ability to develop positive working relationships/partnerships with internal and external clients;

      • Demonstrated ability to problem-solve and work independently and within a team;

      • Proficient in the use of MS Word, Excel and Outlook;

      • Experience using databases to track and report on a variety of data;

      • Knowledge of Student Information Systems (e.g., GeneSIS ), online collaboration tools and/or Learning Management Systems (e.g., Brightspace) is an asset;

      • Strong communication skills, oral and written;

      • Experience with use of CRM tool(s) is an asset;

      • Recent experience arranging work/co-op placements is an asset.

      Anticipated Weekly Schedule:

      • This position is 24 hours per week, scheduled Monday to Friday during the hours of 8:00am to 4:45pm.
