      General Purpose: To connect customers and vendors with personnel and to provide clerical support to other departments.

      Role qualifications:

      • Must represent Wolter in a professional and courteous manner.
      • Must provide superior customer service.

      Position responsibilities:

      • Act as the first point of contact for customers contacting the organization. Answer and route all incoming calls. Ask questions and help customers connect with the correct personnel.
      • Forward general voicemail message to appropriate recipient as needed.
      • Greet and direct visitors; Issue visitor badges.
      • Open and distribute incoming mail daily.
      • Prepare inter-company mail for delivery to other branches.
      • Prepare outgoing mail with postage and prepare it for pick up.
      • Submit check requests for postage and load postage on machine.
      • Order postage supplies (ink, tape, sealer) as needed. Maintain the postage machine with ink and sealer, and call for service when needed.
      • Order office supplies for human resources and operator training department through Office Depot. Distribute supplies upon arrival.
      • Order envelopes for front desk through Digi-Copy.
      • Code utility invoices and submit to AP for payment.
      • Sort through incoming vendor invoices and match them to purchase orders for accounts payable in QuipWare.
      • Prepare checks for mailing on Thursdays for AP department.
      • Update marquee board as needed.
      • Code monthly credit card charges.
      • Order flowers when needed.
      • Order food and handle catering when needed.
      • Decorate for special luncheons and celebrations.
      • Work in tandem with other receptionist for phone coverage and receptionist responsibilities.
      • Keep reception area and mail room neat and orderly.
      • Complete mailer projects, data entry, and benefit material projects for human resources and marketing as needed.
      • Complete miscellaneous clerical projects for departments as needed.

      Essential skills and experience:

      • High school diploma or equivalent.
      • Customer service experience
      • Basic computer proficiency in Microsoft Word, Excel and Outlook
      • Time management: the ability to organize and manage multiple priorities
      • Excellent interpersonal and communication skills
      • Common Sense
      • Positive Attitude
      • Reliable
      • Ability to work well with others as a team

Specific vision abilities required by the job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
