      Job summary

      Shotfield Medical Practice are looking for a part-time receptionist to work within our reception team.

      This is a patient facing role, you will need to be articulate, work well within a busy team. You will also need to be patient, efficient, professional with good attention to detail and be flexible.

      The shift pattern is Monday 1-7pm and Friday afternoons 1-6.30pm.

      You will also be required to cover other shift patterns for sickness and annual leave, sometimes at short notice.

      Main duties of the job

      Job Purpose

      To work as part of the reception team to deliver an effective and efficient reception service to the patients of the practice and any other visitors. To work as part of the wider primary care team to deliver high quality primary care services to the registered population.

      About us

      Shotfield Medical Practice is composed of four full time GP partners, five part-time salaried GP, one Physicians Associate, one full-time Pharmacist and a comprehensive nursing team and administrative support team providing primary care services to a registered population of approximately 13000 patients across Wallington and some of Sutton, Carshalton and Beddington.

      We are a busy, but friendly practice. The reception team have 10 part time staff and two part-time reception leads.

      Job description

      Job responsibilities

      Main duties

      • Greeting patients on arrival, handling enquiries effectively and efficiently.
      • Receiving incoming telephone calls, ensuring appropriate actions, dealing with enquiries and taking messages as required.
      • To make appointments and to cancel or re-arrange appointments as required.
      • To explain practice boundaries, arrangements and formal requirements to new patients and those seeking temporary cover, ensuring all procedures and paperwork is completed to a satisfactory level.
      • Processing repeat prescription requests in line with the practice procedure, directing to other staff and appropriate pharmacies where required.
      • To advise patients of relevant charges for non-nhs services received, accepting payment, recording money received and issuing receipts.
      • To book, hand out and collect back items of equipment to be used by patients in their home such as 24 hr blood pressure monitors.
      • Extracting and filing of medical records from central filing system accurately.
      • Updating patient records both on the clinical system and in hard copy as required following change of name, address, phone numbers, next of kin and with any other relevant details
      • Booking interpreting services for patients who are hard of hearing or require a language translation service
      • Being aware of other external services that are offered through the surgery and knowing how to refer and contact the provider if necessary (ie counselling)
      • Collecting samples from patients and ensuring they are stored and/or collected in an appropriate manner for transfer to hospital or passing those for internal testing to the relevant clinician
      • Undertaking other tasks as required by Practice Nurses or GPs.
      • Collecting, sorting and distributing post to all service users.
      • Following the procedure for opening and closing of the Health Centre at the start/end of each working day ensuring all areas are safe and secure.
      • Fully utilising the surgery clinical computerised system to manage appointments, update records, reviewing results and for any other legitimate reason and in line with practice procedures.
      • To assist with patient recall by the sending of letters and inclusion of relevant diagnostic forms and instructions.
      • To assist other teams and members of staff where required, including providing cover as required at times other than your usual working hours and sometimes at short notice.
      • To provide a chaperone service to clinicians outside the working hours of other general admin staff (early and late in the day) as required
      • To keep the reception and waiting room areas tidy and to ensure relevant stock is held at reception for all staff to access as required (this includes forms, practice booklets, appointment cards and other similar items).
      • Attending reception team and full admin team meetings on a regular basis.
      • Any other duties considered appropriate to the role at the absolute discretion of the Reception Co-ordinator, Senior Administrator, Practice Manager or Partners.
