      Patents and other technology-related Intellectual Property (IP) rights are vital and high-priority elements of Sandvik Mining and Rock Solutions (SMR) business operations. We’re experiencing and foreseeing increased activity in this area due to mergers and acquisitions and our own product and technology development. To meet this and future IP demands as a result of SMR’s investments in research and development, we are now looking for a Patent Administration Manager to join our Patents team. The location for this position is Tampere, Finland.

      In this position, you work in a diverse and global team with patent attorneys, patent engineers, patent administrators and patent managers, and will have a view to all aspects of the global IP administrative work. You ensure that administrative services within the field are provided in an accurate and timely manner – and in accordance with business needs. You handle administration correspondence and documentation within Sandvik patent organization, towards R&D and other units in our organization in different parts of the world, as well as externally towards patent agents and patent authorities in different countries, and work with in-house patenting operations in Europe, the USA, China and India.

      You will coordinate a patent administration team and manage the patent administrative operations relating to global patent and design application filing and prosecution and portfolio management. Competence development of the patent administration team is an important part of your work. You will be responsible for patent administrative processes related to filing and prosecution, inventor remuneration, IP data and document management, and case management systems of the European Patent Office and the Unified Patent Court. You will drive process improvements to make administration efficient and reliable, and in compliance with IP law development. You are responsible for collaboration and alignment of processes and ways of working across business areas. You will coordinate work with patent agencies and patent offices relating to IT-systems, processes, standing instructions and invoicing. Supporting portfolio operations such as mergers and acquisitions, reporting and forecasting financial performance and reporting of key performance indicators will be part of your work.

      The job includes a broad range of paralegal and patent administration related tasks where your job is to identify, handle and resolve various formality issues and matters. In addition, other IP and legal related matters may need attention and handling. The tasks of your job are present throughout the whole patenting process, from invention disclosures, patent applications and granted patents world-wide. You work both independently and in collaboration with other patent professionals in our organization, as well as with external partners.

      Your responsibilities include ensuring that each step in the patent process is registered and maintained in IP databases, reviewing, monitoring and attending deadlines on IP dockets, and maintaining high availability and accuracy of patent portfolio data. You act as the intermediary between external law firms and in-house patent attorneys and engineers, file patent applications and responses at patent offices and manage formal documents. You actively suggest and implement new or improved ways of working for the team.

      Your profile

      We are looking for someone with a genuine interest of accuracy and correctness of details combined with paralegal or equivalent experience from IP or law, and drive to improve ways of working.

      You have a strong understanding of patent administration and at least 5-10 years of experience from working in an IP law firm, corporate IP department or national patent authority and experience from filing and prosecution, communication, and payments in regard of EPO, WIPO, or other IP authorities. You are familiar with the European Patent Office case management system and Unified Patent Court case management system, as well as IP management systems. You have demonstrated skills in process development and leading projects related to patent administration. You have experience in leading and managing a team, including work distribution, prioritization, and resource allocation. You have shown good leadership, communication, and management skills and you are able to collaborate effectively with other managers and key stakeholders.

      You have at least a bachelor-level degree in business administration or equivalent skills. We see it as a plus if your knowledge is backed by an education within IP paralegal, or a degree in Law or Finance. Skills and experience in Office 365 applications and communication tools is needed. We operate in an international environment, and you need excellent communication skills in English.
