      The Payroll and Benefits Specialist is responsible for managing and processing complex payrolls across multiple states and legal entities, while also administering employee benefits programs. This position requires a strong understanding of payroll regulations, tax laws, and benefits administration, and is comfortable operating in a fast-paced, multi-jurisdictional environment. This is a full time, in office position, based in the Grand Rapids Michigan office. This position reports to the Director of Human Resources.

      DUTIES & RESPONSIBILITIES
      Payroll Processing
      • Process weekly and bi-weekly payroll for employees in multiple states and legal entities
      • Ensure payroll accuracy, compliance with local/federal regulations, and timely submission
      • Maintain payroll records including new hires, changes, terminations, and deductions
      • Reconcile payroll with accounting and provide support for journal entries and general ledger reporting
      • Post 401(k) payments to the vendor site weekly
      Benefits Administration
      • Manage health, dental, vision, life, disability, HSA/FSA, pet insurance, identity protection, and 401(k) benefits
      • Process enrollments, terminations, and changes; support open enrollment
      • Review and reconcile employee deductions and carrier invoices
      • Act as the point of contact for benefits questions and issue resolution
      • Ensure compliance with COBRA and ERISA requirements
      • Employee Recognition
      • Coordinate and manage the monthly employee recognition program
      • Coordinate and manage the company anniversary program
      • Promote recognition across the company to enhance engagement
      Compliance and Reporting
      • Stay current with federal and state payroll/benefits laws and regulations
      • Prepare reports for audits, management, and year-end filings (W-2s, 1095-Cs)
      • Assist with compliance audits (401(k), workers’ compensation, payroll tax)
      EDUCATION/TRAINING/EXPERIENCE
      • Associate or Bachelor’s degree in HR, Accounting, Finance, or a related field preferred
      • Experience with payroll/HRIS (Paycor preferred)
      • 3+ years of payroll and benefits experience, including multi-state and multi-entity payroll
      • Strong knowledge of payroll tax laws and benefits compliance
      • Experience working with Google Workspace (Google sheets, Google Drive, etc.)
      • Experience in a fast-paced and/or high-growth environment
      • CPP certification is a plus

      • Ability to handle sensitive information with confidentiality
      • Exceptional attention to detail and organizational skills
      • Excellent interpersonal communication skills
      • Maintain a positive work environment by acting and communicating in a manner so that you get along with customers, clients, vendors, coworkers, and management
      ESSENTIAL PHYSICAL DEMANDS
      • Able to move up to 20 lbs;
      • Must be able to remain in a stationary position working at a computer for prolonged periods of time performing data-intensive tasks; and,
      • Regularly move throughout the location.
