Job Overview:
As a Payroll Specialist, you will be responsible for ensuring accurate and timely processing of payroll for a workforce of 630 employees across 25 multiple entities. Utilizing Paycom software, you will manage all aspects of payroll administration, including but not limited to timekeeping, deductions, taxes, and compliance with relevant regulations. Your attention to detail, strong organizational skills, and ability to work efficiently in a fast-paced environment will be essential in ensuring payroll accuracy and reliability.
Key Responsibilities:
Payroll Processing:
Execute end-to-end payroll processing activities using Paycom software, ensuring accuracy and adherence to established deadlines.
Verify and input employee data, including new hires, terminations, salary adjustments, and other changes as necessary.
Review timekeeping records and resolve any discrepancies or issues prior to payroll processing.
Calculate and process wage garnishments, deductions, and other payroll adjustments accurately.
Compliance and Reporting:
Stay up-to-date with federal, state, and local payroll tax regulations and ensure compliance in all payroll processes.
Prepare and submit payroll tax filings, including quarterly and annual reports, in accordance with regulatory requirements.
Generate payroll-related reports as needed for internal audits, management review, or regulatory purposes.
Employee Support:
Serve as the primary point of contact for employee inquiries related to payroll matters, providing timely and accurate responses.
Assist employees with payroll-related issues, such as understanding pay stubs, resolving discrepancies, and updating personal information.
Educate employees on payroll processes, including timekeeping procedures, tax withholding options, and direct deposit setup.
System Maintenance and Optimization:
Collaborate with IT and HR teams to maintain and optimize Paycom software functionality to meet the organization's evolving payroll needs.
Identify opportunities for process improvements and automation within the payroll system to increase efficiency and accuracy.
Conduct regular audits of payroll data to ensure data integrity and identify areas for correction or improvement.
Qualifications:
Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
Proven experience (2-3 years) in payroll administration, preferably in a multi-entity environment.
Proficiency in using Paycom or similar payroll software systems.
Strong understanding of payroll processing, tax regulations, and compliance requirements.
Excellent attention to detail and accuracy in data entry and calculations.
Ability to prioritize tasks effectively and work efficiently under pressure to meet tight deadlines.
Exceptional interpersonal and communication skills for interacting with employees and stakeholders.
