High School Diploma or equivalent. Prior PBX experience preferred. Knowledge of switchboard and business office machines. Skilled in telephone communications. Ability to work under extreme stress and work under general supervision and sometimes without any supervision.
Job Summary
Functions as a working supervisor and according to specified procedures supervises and operates a console telephone switchboard in order to relay incoming, outgoing and interoffice calls.
POSITION STANDARDS:
1. Coordinates and supervises all activities of the Communications department.
2. Complete monthly schedules to ensure proper coverage.
3. Makes routine employment decisions and review performance of the staff.
4. Interview prospective applicants as needed to fill vacancies.
5. Initiates corrective action for excessive absenteeism and tardiness.
6. Completes evaluations prior to actual due dates, reviews evaluation with employees, and forwards signed, original evaluation to Director.
7. Conducts counseling sessions as needed and in a private confidential manner, involving only those persons who need to be involved.
8. Follow established steps and guidelines for counseling, using appropriate forms; forwards copies of completed form to appropriate people and files.
9. Coordinates orientation, training and education for staff.
10. Assist with the preparation of the annual departmental budget.
11. Prepare statistical reports for medicaid billing.
DEPARTMENTAL OR UNIT SPECIFIC:
1. Answers and screens outside calls and relays them to the proper department or extension number; transfers and/or holds calls when necessary.
2. Answers and screens in-house calls in order to take telephone messages for Physicians and staff, requests for pages, check-outs, and outside lines, and completes calls for patients who may need assistance.
3. Pages Physicians and other personnel over the intercom system as well as encodes pocket and/or radio pagers as requested.
4. Pages Code Blue, fire alerts, STAT calls, emergency calls, Dr. Strong, etc.
5. Informs appropriate personnel of meetings, fire drills, disaster drills and other Hospital functions by announcing them over the intercom.
6. Maintain directory of hospital departments by name and extension numbers as well as telephone numbers of other local hospitals.
7. Files new admissions, removes discharged patient names and updates patient room changes received from the Admission Office.
8. Receives disaster information, notifies proper personnel and signals all clear when appropriate.
9. Directs visitors, salesmen, Physicians, outpatients, etc. to proper locations as needed.
10. Participates in department Quality Improvement Plan.
