Pharmacy Accounts Payable Analyst

Job Description

- Preparing direct vendor upload files/Submit McKesson wire/Accrual files – weekly
- Handle one-time AP payments upon request – i.e. 340B settlements, various others as needed
- Monitor the Pharmacy Billing e-mail box/ensuring portal access to new accounts (with back up team members having access). Maintain log of how invoices are obtained.
- Ensure invoices align with 340B compliance requirements (match Bill to / Ship to with Office of Pharmacy Affairs database).
- Log and maintain direct purchase log (HRSA audit ready at all times (image of 1 invoice per account within last 6 months)
- Ensure drug purchasing accounts are identified appropriately as to account type (340B, WAC, GPO)
- Maintain log of purchase services submissions
- Prepare invoice image files to align/support upload files. Maintain invoice images (evaluate the potential of uploading invoices to Oracle)
- Code charges to appropriate cost center/site/account and to correct vendor ID/remit to
- Address credit hold and other vendor follow-ups/resolving payable issues
- Avoid late fees /credit holds
- Identify abnormal charges (frt. /late fees/taxes) and work with vendors to remove by supplying appropriate documentation (ex. Tax-exempt form, etc.)
- Work with supply chain and AP for vendor maintenance – terms, adds, modifications, remit to changes, etc.
- Obtain, review, and reconcile vendor statements
- Provide information required for physical inventory and HRSA audits – participate in 340B audits
- Obtain appropriate approvals prior to submission to accounts payable based on authorization levels
- Monitor workflow receipts reporting to identify missing invoices/address issues as needed, prepare and maintain standing purchase orders
- Evaluate opportunities to improve/automate workflows, correspond with vendors
- Work closely with Pharmacy Department Leaders/Managers
- Prepare Year End Accrual (others as needed)
- Run/analyze AP reports from Strata and Oracle
- Other duties as required
- Bachelor’s degree in accounting, Finance, or a related field (strongly preferred)
- Proficient in Excel/Word/Outlook
- Working knowledge of account payable systems, (Oracle experience preferred)
- Knowledge of financial systems (Strata preferred)

- 4+ years of relevant experience in accounts payable, compliance, or auditing within a healthcare or highly regulated industry.

Job Description

As a Pharmacy Accounts Payable Analyst, you will be the primary resource responsible for timely and accurate processing pharmacy payables/invoices for the pharmacy department.
In this role as Pharmacy Accounts Payable Analyst, you will process $650M annually of pharmacy payables/invoices with up to 250 vendors and roughly 270,000 invoices/year. You will also be responsible for communicating to appropriate stakeholders, including AP, Treasury and Accounting.

Position Details
In this role, we anticipate that you will generally work approximately 40 hours per week. We anticipate that you will generally be scheduled to work the day shift, from approximately 8am-5:00pm. We anticipate you will be scheduled to work at the Hyde Park campus with the possibility of remote flexibility. The days of the week that you are scheduled will be Monday-Friday, no weekends.

UChicago Medicine is committed to transparency in compensation and benefits. The pay range provided reflects the anticipated wage or salary reasonably expected to be offered for the position.
The pay range is based on a full-time equivalent (1.0 FTE) and is reflective of current market data, reviewed on an annual basis. Compensation offered at the time of hire will vary based on candidate qualifications and experience and organizational considerations, such as internal equity. Pay ranges for employees subject to Collective Bargaining Agreements are negotiated by the medical center and their respective union.
