      The Phototherapy Technician under general supervision and per protocol administers UVB (narrow band), UVA (narrow and broad-band) phototherapy, and Excimer Laser light treatments to patients with a variety of skin disorders in a high volume ambulatory setting. Emphasis is placed on safely delivering treatments as often as three times weekly to each patient with a chronic skin condition. Connects patients with emotional and educational support according to established policies and protocols. The technician also needs to prioritize, complete tasks, manage confidential patient information, perform diagnostic testing (phototesting, patch testing, photopatch testing), schedule patient appointments, referrals and other insurance requests. This position is also responsible for answering and managing incoming telephone calls; scheduling patient appointments; check-in and check-out; creating and updating patient registrations; setting certain expectations for patients regarding their visit, charge entry and billing encounter management and responding to customers’ information needs.

      Review patient medical record and physician orders to ensure appropriate adherence to protocol. Utilize the phototherapy electronic medical record system to calculate dose of treatment (calculate duration of light exposure from physician’s orders using an algebraic formula and a calculator if necessary) and UVB and/or UVA back up time chart for treatment time. The back up time gives the patient and estimated treatment time.

      1. Primary Responsibilities:
      • Ensures patient’s adherence to treatment schedule to prevent adverse reaction to therapy. Needs to regulate the dose given depending on judgment of the skin response as being very red, moderately red, mildly red, or not red at all.
      • Adjusts treatment dose in the event of mild erythema, burning, missed treatment, etc. in accordance with guideline ranges specifically set up by the physician for the individual patient.
      • Ensures that all safety procedures are followed during each treatment (e.g. uses safety drapes properly, shields groin area, protects nipples with zinc oxide or bandaids, makes sure each patient wears protective goggles during treatment unless, of course, specifically instructed to do otherwise by the managing physician, etc.).
      • Makes sure each patient puts mineral oil, if ordered, on the affected areas before entering a light box. These procedures are to be followed by patients of all ages: teenagers (15+), young adults, middle age adults, and elders.
      • Ensure that patients keep regular supervising physician follow-up visits.
      • Makes sure that all patients have a baseline ANA blood test before starting UV therapy.
      • Explain procedures and prepares a schedule of treatments.
      • Greets patients in an appropriate, timely, friendly and professional manner
      • Prepare patient for treatment. Examine patient’s skin for any unusual reactions, skin irritation, etc. Report any significant findings to physician.
      • Render and document treatment administered in phototherapy electronic medical record system. Maintains treatment flow sheet. Render all types of UVB phototherapy.
      • Confirms insurance information including eligibility, coordination and tracking of managed care referrals and authorizations.
      • Performs the daily management of schedules and encounters. Ensures the completeness of all forms.
      • Responsible for stocking inventory of all equipment and supplies used for the delivery of clinical care.
      • Responsible for ordering all supplies and maintaining appropriate inventories.
      • Provide administrative support services during Phototherapy clinic visits. Answers telephone, schedule appointments. Provides check in and check out. Ensures that patient is in compliance with treatment protocol.
      • Understands all managed care and other third party insurance company policies and procedures as they relate to phototherapy treatments. Functions as a resource for patients with insurance and referral issues.
      • Participates in meetings of clinical and administrative personnel as requested.
      • Communicates wait time expectations.
      • Monitors the cleanliness and appearance of the Phototherapy Unit. Works with Environmental Services as necessary.
      • Maintains confidentiality and privacy, which is consistent with HIPAA guidelines.

      2. Secondary Responsibilities:

      • Provides cross coverage for other practice staff due to absences, vacations, etc. and during variations in workflow, as needed.
      • Assists with training and orientation of new staff, when applicable.
      • Functions as an integral part of the patient care team.

      Engages in constructive problem solving with others in the practice as problems arise.

      • Candidate must have a High School Diploma
      • Candidate must have 3+ years of phototherapy experience.
      • Medical Assistant will be considered for position.
      • Maintain Basic Life Support Certification. Must have necessary analytical, judgmental and interpersonal skills to deal effectively with patients, families and co-workers.Communicates with physicians to determine medical assisting and nursing needs and to solve problems regarding issues.Attention to detail is critical as well as punctuality, good attendance, and a strong willingness to work as a team member.
