Bachelor’s degree in Administration, Commerce, STEM, or a related field
1-3 years of experience in a financial institution, management consulting firm, investment firm, or equivalent
Strong Dynamism, Curiosity, and Motivation: Ability to adapt and grow in a rapidly changing environment with a focus on continuous improvement
Financial and Analytical Skills: Proficiency in analyzing financial data, and utilizing tools like Power Query and Python
Technical Proficiency: Skilled in Excel, PowerPoint, data management systems, and data visualization tools like Power BI and think-cell
Prioritization and Problem-Solving Abilities: Capable of managing multiple priorities, troubleshooting issues, and implementing effective solutions
Knowledge of VC & PE and Tech Ecosystem: Understanding of venture capital, private equity, and technology sectors
Language Skills: Fluency in either French or English is required, with at least intermediate proficiency in the other language. Fully bilingual candidates are preferred

POSITION OVERVIEW
The Portfolio Coordinator position within the BDC Capital Operations team is pivotal in managing data collection and integration processes in iLEVEL, our portfolio monitoring system. Responsibilities include supporting optimal system usage, managing security permissions, and maintaining data integrity. The role also ensures that investment transactions are correctly processed, meet governance requirements, and are updated in our back-office system. Additionally, the position involves participating in quarterly data collection for the funds portfolio, producing ad-hoc analyses, and contributing to the production of reports such as the annual VC landscape publication.

CHALLENGES TO BE MET
PORTFOLIO DATA & SYSTEMS MANAGEMENT
Data Collection and Integrations: Drive the efficient population of iLEVEL by overseeing monthly and quarterly data collection using templates and loader files from both internal and external sources, while managing ETL (Extract, Transform, Load) processes. This includes handling data entry for transactions from source systems, assets under management, enterprise values, Pitchbook data, initial stages of development, liquidity events, and fund operating expenses. Additionally, manage the workflow of data collection templates sent to portfolio companies and investment teams
Optimize Systems Usage: Support the optimal usage of iLEVEL and Affinity CRM throughout BDC Capital by designing web portals and reports, and troubleshooting configuration issues. Additionally, propose improvements in operational processes to enhance efficiency and accuracy. Provide training and guidance to staff on data collection procedures
Data Quality: Perform error-checking, validations, and reconciliations in iLEVEL and Affinity CRM to ensure data integrity. Investigate and resolve data issues
User Security: Manage user security for both internal and external users in iLEVEL and Affinity CRM. Audit user and group setups to ensure proper configuration, and address any permissions issues that may arise
PORTFOLIO OPERATIONS
Transaction Support: Ensure that investment activities, such as authorizations and cash disbursements, are correctly processed and fulfill governance requirements. Coordinate with the Finance department to achieve timely submission of transactions. Update the Framework back-office system for rounds of financing, cap tables, and other data points, maintaining accuracy and completeness. Perform tasks such as share reconciliation, entering milestones for teams during the semi-annual valuation exercise, and filing and logging share certificatesAnalysis and Reporting: Participate in producing analyses, reports, and forecasts to support executive decision-making. Contribute to reports such as the annual VC landscape publication, which analyzes market trends, investment patterns, and identifies emerging opportunities. Additionally, produce periodic ad-hoc analyses on the portfolio, such as exposure by province or sector, and activity levels
Funds Quarterly Data Collection: Participate in the quarterly data collection process for our extensive funds portfolio, gathering asset, financial, and KPI data from fund financial statements to update iLEVEL
