      Job summary

      We are a thriving GP Practice based in Deepdale we have a list size of just under 4000 patients. We work hard to provide a friendly, efficient, and caring service where the needs of our patients come first and foremost. Each one of us will work to ensure that each patient is treated courteously and with respect and receives the highest standard of care we can provide within the resources available to us.

      Main duties of the job

      The post-holder will be responsible for an efficient specialised secretarial support service to the clinical team and practice manager. This will include the processing of patient referral systems and oversight of reception functions. The post holder will also be required to provide front of house reception cover as required. During holidays and or sickness, the post-holder may be required to work additional hours to ensure adequate staffing levels. P LEASE NOTE the working hours for this role will be 12.30pm to 6.30pm Monday to Friday.

      Job responsibilities

      Main Duties

      Administrative and Secretarial Functions

      1. To process clinical referrals to providers in a timely manner ensuring supporting documentation is provided where required and follow-up monitoring is maintained.

      2. Prioritise all practice workload from the various workflow processes including tasks, emails, telephone and paper documentation.

      3. Ensure reception team have clear direction on daily tasks and priorities to comply with targets and priorities

      4. To support the practice manager in the delivery of a smooth efficient patient service and clinical organisation.

      5. To cover reception functions in times of holidays and absence.

      6. To understand and comply with Practice Safe-guarding Procedure undertaking and supporting the policy and maintaining relevant training standard required.

      7. Extract the necessary data from correspondence using workflow optimisation and input this via clinical coding using SNOMED-CT, distribute as needed to other members of the team for action and follow-up actions specified.

      8. Any other clerical duties as required from time to time in line with the needs of the practice.

      9. Ability to work methodically and accurately, showing attention to detail with exemplary organisational skills whilst projecting a positive and professional image to all patients and visitors

      10. Ensure a thorough knowledge of practice procedures and systems to ensure the administrative service is delivered to a high standard.

      11. To process all non NHS work in a professional timely manner ensuring compliance with data protection standards and follow-up any financial payments due.

      12. Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
