      Physician Practice Supervisor

      General Summary :

      Responsible for assisting with patient care, and providing supervision of office systems and personnel. Oversees daily functions of practice, ensuring compliance with policies and procedures, revising as necessary.

      Essential Job Functions* :

      • Coordinate tasks, activities and schedules in collaboration with the clinical and/or administrative personnel to ensure smooth work flow and patient flow.
      • Assist Operations Manager in development of short and long term work plans and objectives for physician practice.
      • Prioritize work activities, evaluating effectiveness, providing ongoing feedback completing the annual review process for practice support staff.
      • Ensure that patient registration is accurate and insurance eligibility is verified prior to visits.
      • Ensure reconciliation of daily charges against patient schedule for services rendered are captured.
      • Ensure balancing of petty cash drawer at the end of the day with the receptionist occurs.
      • Ensure that self-pay and cash collection policies are being followed.
      • Send daily batch reports to the finance department.
      • Manage Cerner work queues
      • Correct billing errors found on the error logs provided by billing.
      • Generate volume and statistical reports; maintain performance metrics for the practice.
      • Participate in marketing efforts.
      • Assist staff and patients with insurance coverage education and concerns.
      • Oversees, maintains, and approves office supplies and inventory
      • Ensures mail is opened and processed.
      • Ensures offices are opened and closed according to procedures.
      • Ensures that patients are treated courteously by support staff and other visitors are screened and properly directed.
      • Participates in professional development activities.
      • Attends all staff/job related meetings/in-service for both Practice and Speare Memorial Hospital and provide input.
      • Maintains strict confidentiality.
      • Complies with hospital and departmental policies, procedures, regulations, and standards as related to the job.
      • Demonstrates hospital’s stated mission and values of teamwork, respect and communication with co-workers, patients, families, and visitors.
      • Monitors schedule to maintain adequate patient flow according to SMH scheduling guidelines for the assigned provider.
      • Provide orientation and training for office staff and providers. Monitor individual staff performance and conduct annual employee evaluations.
      • Develop and manage staff work schedules, assignments, and office workflow.
      • Coordinate maintenance and repair of equipment.
      • Assist with care coordination activities among the physician and hospital departments, facilities, system development, and communications.
      • Ensure the office systems for patients follow up (ED, referrals, ancillary test results and clinical recall system) are implemented and effective.
      • Prepare annual budget, oversee expenditures, and assist Finance as required to reconcile daily transactions and manage other financial activities.
      • Responsible for maintenance of administrative files such as Speare policies and procedures, and generating, summarizing, and follow through on information contained in Press Ganey Patient Satisfaction and EMR Meaningful Use reports.
      • Provide coverage and support for other Practice Supervisors and Departments as requested.
      • Assist and schedule triage calls as required.
      • Assist with prior authorizations for medications and diagnostic studies, review determine eligibility.
      • Refer patients to appropriate specialists as directed by provider.
      • Prepare and maintain electronic patient chart. Collect and advise provider of all ER and radiology notes prior to patient’s arrival, when applicable.
      • Actively and appropriate participate in problem-solving identification and resolution, both intra- and intra-departmentally.
      • Meet department customer service standards and strives to enhance the level of customer service provided.

      Other Essential Job Functions:

      • POSM/PGS/POG:
      • Schedule patient surgeries, advise patient concerning pre-operative testing, and coordinate office schedules with OR. Order MRI, CT, Bone scans, Lab tests, coordinate surgeries and preoperative evaluations, etc., when directed and instruct patients on what to expect during their diagnostic appointments and/or surgeries.
      • Qualifications :
      • Education

      Required: High School Diploma or GED

          • Preferred: RN or BSN

      • Work Experience

      Required: Minimum of five years of medical office experience.

      Preferred: Five years with medical office administrative experience (Supervisory).

          • Skills:
            • Skill in planning, organizing, delegating and supervising.
            • Skill in evaluating the effectiveness of existing methods and procedures.
            • Skill in operating a variety of office equipment and computer programs.
      • Abilities:
        • Ability to read, interprets, and apply policies and procedures.
        • Ability to communicate clearly and effectively.
        • Ability to set priorities among multiple requests.
        • Ability to interact with patients, medical and administrative staff, public effectively.
      • Knowledge:
        • Knowledge of organizational policies, procedures, and systems.
        • Knowledge of clinic office procedures.
        • Knowledge of computer systems and applications.
        • Knowledge of medical practices, terminology, and reimbursement policies.
        • Knowledge of grammar, spelling, and punctuation and sentence structure to answer correspondence and prepare reports.
