- Coordinate and manage all pre-construction tasks to ensure homes start on time.
- Submit, track, and follow up on permit applications with municipalities and jurisdictions.
- Prepare and distribute accurate job start packets to construction teams.
- Work collaboratively with sales, drafting, purchasing, and construction to verify lot-specific plans, options, and scopes of work.
- Maintain and update home start schedules to meet monthly and quarterly goals.
- Enter and manage lot, plan, and permit data within company software (e.g., Newstar, SaleXpress, Hyphen BuildPro).
- Review sales contracts and documents to ensure accuracy and readiness for construction.
- Generate weekly reports on permit status, starts pipeline, and production readiness.
- Identify delays or roadblocks and proactively resolve them through cross-functional coordination.
- Maintain organized records of permits, plans, vendor communications, and construction start documentation.
- Request, track, and follow up on pre-start tasks from vendors to ensure cycle milestones are met.
- Coordinate and process all permit and utility payments.
- Communicate daily/weekly with department leaders and builders on outstanding vendor/interim/permit items.
- Review plot plans for accuracy before municipal submission.
- Prepare materials for weekly starts meetings.
- Review and process all change orders and amendments, including plan/document revisions when necessary.
- Recommend process improvements to enhance operational efficiency.
- Promote and uphold company culture and core values.
- Follow company policies, procedures, and safety protocols.
- Perform other duties as assigned.

- High school diploma or GED required
- Some college coursework preferred
- Minimum 2 years in a professional office environment preferred
- 1+ year of experience in homebuilding or construction starts strongly preferred
- Regularly required to sit, stand, walk, talk, and hear
- Frequent use of hands and fingers to operate a computer, phone, and office equipment
- Ability to reach, stoop, and kneel
- Ability to sit at a desk for extended periods
- Occasionally required to lift/move items up to 30 pounds
- Visual acuity for close and distance vision, and the ability to adjust focus

This is a full-time, in-person position based in a professional office setting. The role requires regular use of standard office equipment such as computers, phones, printers, and filing systems. The ideal candidate will thrive in a fast-paced, team-oriented environment, and be able to manage frequent interruptions while maintaining accuracy and productivity. Occasional local travel may be required, during which the employee could be exposed to varying weather conditions.
