- Requests medical records, accident reports, driving records, and vehicle ownership and submit for processing
- Communicate with clients to obtain information and provide updates on progress of their matter.
- Maintain professional communications with distressed clients and appropriately handle conflict.
- Request checks from accounting to pay invoices, process attorney expense reports
- Ensure all client documents, files, and pertinent communications (e.g. letters, fax, emails, texts, etc.) are stored and organized in Litify based on SOP
- Collect, examine, and organize evidence and other documents for Case Manager and Attorney review
- Support the Case Manager and Attorney with other ad hoc outreach, scheduling, reporting, and case processing tasks, as needed
- Communicate with insurance companies to get claim numbers, subrogation status, confirm verbal limits and follow up on disclosures, as needed
- Conduct balance verifications from Medical Providers, Health Ins. & Work Comp Liens
- Facilitatee the Turndown of clients, ensuring that client has received the required communication – i.e. via Email, Certified Mail, or Fax – and status / activity is properly tracked in Litify
- Ensure data accuracy and integrity for all pre-suit activity in Litify
- Perform administrative duties (scheduling investigations / deadlines, checking mail, organize case files, manage logistics)
- Any other duties as assigned
- High school diploma or general education degree (GED) required.
- Bilingual English and Spanish. (preferred)
- At least 2 years of experience as an administrative assistant (preferably in a law firm or in a corporate legal department), legal assistant, legal secretary, or paralegal.
- Experience in Personal Injury, WC, Premises, or other injury related practice areas. (preferred)
- Must possess the ability to multi-task, prioritize, handle a fast-paced environment, and manage workload with a great attitude and minimal supervision.
- Great written and communication skills,be proficient in calendaring depositions, mediation, and hearings.
- Applicable knowledge of motions, discovery, evidence, litigation documentation, court rules, and procedures, practices, etc.
- Highly organized with the ability to juggle multiple deadlines in a fast-paced environment
- Strong writing and communication skills along with attention to detail
- Extensive computer and database expertise, Microsoft Word, Excel, Outlook, and type no less than 35 wpm

Presuit Secretary Opportunity
Pay starts at $17.00 p/h
We are seeking a qualified Pre-Suit Secretary to join our team. As a Pre-Suit Secretary, you will be responsible for managing the day-to-day operations to support clients during the early investigation of their claim. This role will work closely with Case Managers and Attorneys on work pertaining to the pre-litigation of a case. This position's ideal candidate has a strong work ethic, initiative with exceptional problem-solving skills, a proven track record of successful organizational and follow-up skills, and comfortable working in a fast-paced dynamic workplace.
