      About the Agency

      The Illinois Human Rights Commission provides a neutral forum for resolving complaints of discrimination filed under the Illinois Human Rights Act. Our primary responsibility is to make impartial determinations of, whether there has been unlawful discrimination, as defined by the Act. We strive to provide professional, competent, and considerate service to everyone who seeks information from us or who has a case before the Commission.

      Essential Functions

      Under direction of the Executive Director of the Illinois Human Rights Commission, performs secretarial and administrative duties of a highly complex and confidential nature, in handling materials brought before the Commission, in sending and receiving Commission correspondence, in taking and preparing minutes of the EnBanc Meetings Executive Sessions, coordinating travel, securing accommodations for Executive Director and Commissioners; in collecting and preparing information for the Human Rights Commission Annual Report.

      1. Responsible for functions such as management of correspondence requests and maintenance of records and information. Record and transcribe highly sensitive meeting minutes collected from HRC's Executive Sessions Commission meetings and Executive Director's meetings when requested. Process sensitive and complex documents reports letters meeting minutes legislation rules and regulation and budgetary information. Schedule and confirm appointments meeting conferences and video conference for Executive Director Commission Chair person and members of the Commission. Clearly and effectively communicate both orally and in writing with all levels of Government on behalf of the Executive Director.

      2. Reserve various conference rooms at the JRTC along with Central Management Service/DolT to schedule monthly video conference connecting to Springfield for Commission meetings for the entire year. Prepare conference meeting rooms to ensure video conference equipment is connected. Correspond with CMS/DolT to ensure video equipment is functional. Confer with DolT when connectivity issues occur. Ensure conference room has enough chairs to accommodate Commissioners' staff and visitors.

      3. Maintain confidential and administrative files operate manual and automatic office equipment and computers in performing assigned duties and responsibilities.

      4. Request/schedule projects resources via Central Management Service CMS. Correspond with CMS Office of Communication and Information to deliver review and edit information to create the HRC Annual Report. Liaison to collect data from HRC Senior staff Administrative Law Section General Counsel Fiscal Officer and Torture Inquiry and Relief Commission to orchestrate the creation of the Human Rights Commission's Annual Report. Ensure target date is met to distribute the Annual Report to the Office of the Governor as required by the Human Rights Act.

      5. Prepare documentation for HRC's full Commission meetings by preparing the Executive Director's Report. Collect information from Fiscal Officers Financial Report the General Counsel's Report and the Chief Administrative Law Judge's Report and merging data into a master document for the Director's Report.

      6. Receive and distribute incoming correspondence coordinate the preparation of outgoing correspondence establish completion dates and follow up on untimely information. Prepare reports and documents for Executive Director and Chairperson review edit outgoing correspondence for clarity grammar punctuation spelling and compliance with policies rules and regulations.

      7. Maintain and update HRC's Website by adding monthly Agendas for Monthly EnBanc and Panel's A B C D Adding Monthly EnBanc and Panel's A B C D Approved Meeting Minutes Add Commissioners' pictures and biographical information.

      8. Assist the Administrative Law Section with the completion of Orders Final Orders and Decision and Recommended Orders and decisions issued by the Administrative Law Judges. Assist with relief of receptionist desk when called upon. Liason for Hinckley Springs for water deliveries to Chicago office.

      9. Provide secretarial work for the Executive Director Chairperson Senior staff and Commissioners'. Entrusted with the confidence of the Executive Director and/or Chairperson to manage incoming correspondence from the Office of the Governor for concerned citizen. Responsible for identifying and directing calls to the Public Information Officer for inquiring Press Lawyers or outside agencies seeking statements/information.

      10. Performs other duties as required or assigned which are reasonably with in the scope of the duties enumerated above.

      Minimum Qualifications 1

      1. Excellent typing skills knowledge of general office procedures and mental development equivalent to the completion of four years high school. Must have through knowledge of business, English, and secretarial procedures and practices. Requires working knowledge of the programs and functions of various state agencies.
