About the Position:
This role is an on-campus, in-person position.
The production assistant handles inquiries, including copyright inquiries and permissions; collects files from writers for verification and accuracy; prepares and distributes electronic copies of finished issues for online distributors; oversees our rather complicated shipping operation, which involves a mix of domestic and international shipments; makes sure that the editor-in-chief receives DocuSign payment approvals so that the contributors to our print magazine and website are paid in a timely manner; maintains subscriber lists and creates issue labels for each issue; maintains electronic and hard records on writers and manuscripts; coordinates and conducts correspondence; and handles the extensive paperwork involved in maintaining our website and paying our online contributors. In short, the production assistant keeps the office running and is indispensable. Also, the production assistant will help with events and programs.
Essential Functions:
Education and Experience:
A high school diploma (or equivalent) with four years experience is required or an Associate's degree with two years experience or a Bachelor's degree with no years of experience.
Extensive experience in office management at a literary magazine or similar publication is a plus, but is not required.
Knowledge, Skills and Abilities:
Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills.
Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.
Candidate must be able to quickly adapt to changes in software.
Candidate must be able to demonstrate proficiency in Microsoft Word and Excel.
Candidate must possess (or be able to acquire) a thorough knowledge of Submittable.
