- Ensures proper function of office equipment including troubleshooting problems with scanners/computers and communicating these issues to management.
- Uses several data screens to research the history of an order.
- Maintains a consistent line of communication regarding a problem or special order with Client Services.
- Ensures management is contacted at first sign of problem, concern, or delay with a client’s order.
- Follows workflow identified in department policies and procedure manuals.
- Maintains business confidentiality relative to pricing, promotion, customer lists, and methods of distribution.
- Regular time and attendance.
- Other duties as assigned.
- Processes incoming mail/faxes.
- Prepares physical records/films for scanning and processing.
- Downloads and processes electronic files.
- Prepares and scans physical records and internal/external documents.
- Uploads records from various media.
- Prints all necessary forms from COMPANY’S OPERATING SYSTEM (Cover sheet, Cert/NOD if a Texas Admissible State case, x-ray status tab and label(s) if processing films)
- Scans to the appropriate folder
- Reviews electronic records with speed and accuracy.
- Uses software to enhance image quality (cropping, rotating, file re-name, etc).
- Identifies and verifies key information within records.
- Check legals, work order and invoice to ensure they match
- Verifies case notes for information
- Reviews hotlist for special preferences
- Handle requests for copy service Chart Swap, Chart Records and Chart Fast as needed
- Categorizes and reviews electronic records with speed and accuracy, adhering to the AHIMA (American Health Information Management Association) standards for medical records categorization.
- Processes incoming radiology images and pathology slides.
- Identifies various types of studies (CT Scans, MRI’s, X-rays, etc.) to create breakdowns for clients.
- Scans physical films.
- Uses imaging software to print films and/or burn film CD’s.
- Reviews electronic and printed records for accuracy and quality.
- Verifies key information within records.
- Performs special handling of records per client request (insert tabs, split volumes, etc.)
- Prepares records for shipping and/or posting on website.
- Prints and assembles packets for drivers and/or mailroom.
- Uses software to mail and ship various documents, records, and other items.
- Drills, binds, and packages records for safe shipping to clients.
- Completes proofs of service by handwriting information.
- High School diploma or general education degree (GED).
- Prior experience with a legal support organization preferred.
- Strong oral and written communication/presentation skills.
- Strong computer skills; ability to navigate through the Internet, MS Office, data screens and email.
- Outstanding interpersonal skills with, peers, superiors, customers, and other partners.
- Ability to prioritize and meet critical deadlines.
