Job Description
- Req#: 4099
- Support scheduling needs in Microsoft Outlook for the Epidemiology Unit including unit meetings, project meetings, collaborative meetings, presentations, trainings, and adding important dates and deadlines to staff calendars.
- Assist in meeting preparation, including creation of agendas, making copies, taking meeting minutes and collecting- and creating reminders for- action items identified during meetings.
- Assist with data entry, sending reports to internal staff and external partners, and addressing data entry errors.
- Assist with the preparation of PowerPoint presentations, factsheets, program reports, and other reports created for dissemination.
- Add pertinent information and ensure updates are made as appropriate to existing information within the Unit’s document library on SharePoint.
- Monitor STD/HIV Operations and Resources System data request queue.
- Assist with creating and updating training materials for the APHIRM and MDSS systems as needed.
- Assist the Section Secretary with tasks as necessary.
- Assist other units in the Division of Data and Operations as necessary.
- Represent the best interests of MDHHS and MPHI at all times.
- Other duties as assigned.
- Proficiency in Microsoft Office- Word, Excel, PowerPoint, and Outlook.
- Self-motivated- able to complete work in a timely manner and work on multiple tasks at one time with competing deadlines.
- Effective interpersonal communication skills, both verbal and written.
- Highly organized.
- Ability to work effectively in a fast-paced environment.

Location: Hybrid – In-Office Work Required – Cadillac Place, Detroit
Purpose: This position provides program support for the HIV/STI Epidemiology Unit staff as part of the Bureau of HIV and STI Programs - Division of Data and Operations.

Qualifications/Requirements:
Education: High school diploma or equivalent required.
Experience: Two years of related experience performing administrative support activities.
Important Skills and Characteristics:
Work Environment and Physical Requirements: This is a hybrid position. The office location for this position is the Cadillac Place building in New Center, Detroit in a standard office environment. This position will require viewing a CRT or VDT screen 25% to 75% of the time. Occasional physical effort, including lifting materials and equipment up to 50 pounds. Requires a valid vehicle operator’s license to attend off-site meetings, conferences, and trainings.
RESPONSIBILITY FOR THE WORK OF OTHERS: No assigned responsibility.
IMPACT ON PROJECTS, SERVICES AND OPERATIONS: The Program Assistant has a strong impact on the efficiency and integrity of the analysis conducted on the projects to which they are assigned. The Program Assistant is important to the timely and efficient operation of a data-intensive unit.
