      The program Assistant is a valuable member of our health care operations team who under direct supervision, provides clerical support for the Referral and Utilization Management Program. Duties include but not limited to handling office tasks such as answering and directing phone calls, managing faxes, mail, and emails, assisting staff, communication with external inquires and providers. Assists with communication efforts, performing data entry, creating documents, and scanning materials.

      Scheduled Hours: 37.5 hours per week
      • Monday to Friday (8:00AM - 4:00PM)
      • Organizes, files, and maintains records; prepares, creates, and scans documents as directed.
      • Completes data entry and record filing with accuracy and efficiency.
      • Provides general secretarial support to the program.
      • Prepares reports, gathers data, and compiles documents as assigned.
      • Processes and distributes incoming and outgoing mail as needed.
      • Communicates clearly and effectively with the public and with individuals affiliated with entities regulated by or working in partnership with Health Department programs.
      • Enters, compiles, and updates program data using standard office procedures, modern equipment, and appropriate recordkeeping methods.
      • Delivers outstanding customer service by providing accurate program and agency information to both internal and external clients.
      • Supports and promotes smooth and efficient office operations.
      • Assists Coordinator with special projects
      • Performs additional duties as assigned or required.
      • High School Diploma or GED required.
      • Minimum of one (1) year of general office experience.
      • Strong command of spelling, punctuation, and grammar for internal and external correspondence.
      • Proficiency in personal computer use, including relevant software applications, with adequate typing skills.
      • Ability to manage multiple tasks while maintaining accuracy and attention to detail.
      • Friendly and professional demeanor when interacting with others.
      • Ability to write basic correspondence and effectively communicate in one-on-one interactions.
      • Bilingual proficiency in English and Spanish is highly preferred.
