      IREX is seeking a Program Associate to provide backstopping and administrative support under the USAID-funded global program Civil Society and Media – Strengthened Together and Advancing in New Directions (CSM-STAND). Under CSM-STAND, IREX and its partners support activities in different regions as well as advance innovation in the Democracy and Governance community. The Program Associate will coordinate with different members locally and internationally, including the various units of IREX.

      Your Background & Skills

      • Bachelor’s Degree
      • 1+ years of work experience. Work experience may include internships, part-time jobs, or a combination of both. Skills may vary based on program, project, or practice needs.
      • Interest in understanding the challenges that media is facing globally.
      • Experience writing, formatting, or copy-editing technical reports and other communicative materials is preferred.
      • Excellent organizational and administrative skills, with fluency in Microsoft Office suite
      • Keen attention to detail and an aptitude for proactively addressing problems.
      • Great interpersonal and cross-cultural communication skills
      • Excellent time and deliverable management. Ability to multi-task, manage time and workload.
      • Proficiency in using online collaboration and security tools like SharePoint, encryption, VPNs.
      • English verbal and written fluency required.
      • You must have unrestricted authorization to work in the United States.

      Your Daily Tasks

      • Draft internal communications about the CSM-STAND project and facilitate external communications.
      • Support the relevant program staff in all aspects of program implementation to ensure timely and accurate completion of deliverables.
      • Coordinate activities that support the project’s completion of objectives
      • Draft and copy-edit internal and external reports.
      • Support and coordinate travel, including transportation, lodging, and per diem.
      • Collect and properly store project documentation and data for program operations.
      • Complete any necessary administrative tasks when required, including communications and research.
      • Contribute to internal meetings with HQ and country office staff, as required/
      • Draft and coordinate weekly updates on CSM-STAND projects for internal and external stakeholders.
      • Oversee, update, and track documents stored on the program-shared SharePoint site(s).
      • Support in business development, including coordinating, copy editing, formatting, and other responsibilities, as required.
      • Assist with financial tracking, payment processing, and credit card reconciliation.
      • Develop procurement requests in Costpoint, iKnow, and other databases in compliance with IREX
      • and USG regulations.
      • Assist in seeking solutions to contractual and subgrant questions rooted in IREX and USG policies.
      • Draft consulting and contractual agreements, including the management of digital procurement system requests, ensuring compliance with USG and IREX policies.
      • Support subgrant development, as needed.
      • Input and track payments.
      • Liaise with other teams within IREX on finance and compliance issues, as requested.
      • Work with the program staff to ensure program objectives are met.
      • Other support duties as needed.
