      Job Description

      SUMMARY:

      Reporting to the Associate Director, MBA & Graduate Programs, the Program Associate functions as the office's point of contact, supporting major events and programs throughout the year.

      PRINCIPAL DUTIES AND RESPONSIBILITIES:

      • Manages a range of payment processes, including professor payments for online and hybrid courses, contract initiation for online course development, agreement tracking, invoice processing, vendor communication, budget transfers, travel authorizations, hiring of student and per-diem employees, and purchasing office supplies and promotional items using Workday, Workday Finance, and paper forms.

      • Coordinates and executes event logistics, including material preparation, registration, catering, room reservations, work orders, and communication with students for various events, such as orientations, information session webinars, workshops, panel discussions, executive speaker events, etc. This includes pre- and post-event email communication, logistical support during events, and overall event management.

      • Serves as a primary point of contact for students, faculty, and external visitors by providing knowledge on programs, assessing individual needs, and ensuring efficient follow-up through appointment scheduling or appropriate referral to specialized staff.

      • Assists with international and domestic trip logistics.

      • Manages and maintains the Graduate Programs’ email account.

      • Processes change of concentration and other forms for graduate students.

      • Presents and answers questions during information sessions and follows up with prospective students who have additional or specific questions about the application process or programs.

      • Schedules appointments and meetings for prospective and current students in various programs, faculty, and staff members.

      • Coordinates the course evaluation process in collaboration with the Office of Institutional Research, reviews evaluation results, and communicates key student feedback to program directors.

      • Performs other duties as assigned.

      • Management retains the right to add or change job duties at any time.

      QUALIFICATIONS:

      REQUIRED:

      • Bachelor’s degree from an accredited college or university in the area of education, business, or a related field.

      • Minimum one (1) year of professional experience at a higher education institution.

      • Strong verbal and written communication skills.

      • Exceptional organizational and teamwork skills.

      • Proficiency in Microsoft Office (Excel, Word, and PowerPoint), ability to quickly learn new applications. • Demonstrated understanding of excellent customer service.

      PREFERRED:

      • Ability to work well with people of varied backgrounds and talents.

      • Familiarity with Banner and Workday.
