      Summary of Job Duties:

      Reporting to the MHA Program Director, the Program Coordinator supports program and course-related activities and independently advises students, staff, faculty and the general public on program content, policies and procedures. This position provides administrative support to the MHA program and teaching faculty. The Program Coordinator uses independent judgement in interpreting and applying rules and policies of the Program, the Department of Health Policy and Management, and the College of Public Health. This position coordinates, schedules, and monitors administrative, fiscal, and educational activities to ensure consistency with the programmatic goals and documentation and monitoring compliance with program accreditation.


      Qualifications:

      • Bachelor's degree plus two (2) years of administrative or program coordination experience or
      • Associate's degree plus four (4) years of administrative or program coordination experience or
      • High School degree plus six (6) years of administrative or program coordination experience required.

      Preferred Qualifications:

      Master's degree in a related field (MHA, MPH, etc.) plus three (3) years experience in a program coordination position.


      Additional Information:

      Responsibilities:

      • Coordinate all elements of the MHA program including application/admissions processes, course scheduling, registration, instructional support, and accreditation documentation.

      • Advises prospective students and applicants on the application process and troubleshoots issues with the application system.

      • Extracts applicant data/files and maintains documentation for accreditation reporting.

      • Monitors applicant profiles, ensuring that applicants meet the minimum GPA and program entrance requirements.

      • Coordinates application review including tracking applications for completeness, preparing applications for reviewers, assigning reviewers, and tabulating scores.

      • Coordinates communications and logistics for the admissions review committee.

      • Coordinates and sends onboarding communications to incoming students.

      • Coordinates administrative elements of faculty course preparation and delivery, particularly for adjunct faculty courses, including assurance of textbook adoption, syllabus submission, and documentation for accreditation.

      • Provides student support including information about course schedules, registration, and timelines, and resources for payment.

      • Coordinate and administer competency assessment surveys for all students at program start, midpoint, and graduation.

      • Coordinates exit interviews with graduating students and the MHA Program Director. Builds and maintains relationships with employer residency sites and facilitates student placement for residencies.

      • Tracks and monitors the completion of student evaluations from residency preceptors.

      • Coordinates tracking and monitoring of new graduate and alumni employment to ensure compliance with program accreditation. Coordinates and administers regular alumni and employer surveys in support of programmatic goals and program accreditation requirements.

      • Provides fiscal support (purchasing, travel reimbursement) for faculty and students.

      • Coordinates development of student employment contracts for management assistantships and residencies and approval by the relevant authorities, both within the University and with external organizations.

      • Coordinates tuition and stipend payments for all management assistants. Ensures all related HR and administrative paperwork is prepared, approved, and communicated to the proper authorities.

      • Works with the College Webmaster to ensure the timeliness and accuracy of all materials posted to the program website.

      • Troubleshoots inquiries from prospective students and current students, faculty, alumni, and community affiliates. Coordinates logistics for the MHA Advisory Board meetings.

      • Coordinates and schedules monthly faculty meetings.

      • Coordinates and communicates with other UAMS departments and community-based partners.

      • Assists in the production and dissemination of marketing materials, program newsletters, and the MHA student manual.

      • Drafts minutes for faculty meetings and Advisory Board meetings and assures documentation as required for program accreditation.

      • Provides event planning coordination and administrative support for orientation sessions, student association meetings, faculty meetings, recruitment events, and alumni meetings to include primary administrative responsibility and coordination for the annual MHA Alumni luncheon. These responsibilities include catering and parking relating to all program events.

      • Provides administrative support for periodic program reaccreditation and annual reporting.

      • Performs other duties as assigned.
