- Work collaboratively with members of the Stewardship team to perform tasks supporting donor stewardship, including impact reporting, engagement, recognition, and acknowledgment in alignment with our strategic plan campaign priorities.
- Provide administrative support to the Senior Manager, Stewardship and Recognition, and dedicated program support for the Stewardship team.
- Oversee Stewardship email box and phone line
- Invoice payment, expense tracking, and monthly credit card reconciliation
- Utilize departmental software systems, including RENxt, SharePoint, Tableau, Asana, SmartSheet, Hustle, Luminate Online, and Microsoft Office Suite
- Coordinate donor recognition tracking efforts within a web-based software, GiftMap, including but not limited to:
- Communications with vendors, inventory adjustments, and invoicing
- Tracking and coding of recognition inventory, usage guidelines, marketing collateral, and internal training materials
- Creating recognition proposals for donors
- Liaise with Facilities team on recognition planning, fabrication, and installation
- Support annual donor wall updates
- Support the gift catalog content and collateral inventory, and partner on custom stewardship and recognition efforts.
- Support stewardship of gift clubs:
- Use live membership reports to track current and potential donors
- Maintain membership coding for the Nobel Laureates Circle and Thomas Legacy Society and facilitate customized benefits
- Produce welcome and renewal membership emails and ThankView email and video communications
- Periodically update gift club rosters
- Draft leadership briefing documents for events and support some event logistics.
- Execute additional special projects and administrative tasks as assigned.
- High school diploma or GED
- Two years of experience in non-profit development or related field required
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook and PowerPoint, and SharePoint required
- Proven experience supporting donor stewardship efforts desired
- Bachelor’s degree or equivalent work experience preferred
- Highly developed organization and information management skills
- Proficiency with project management systems preferred (SmartSheet, Asana) desired
- CRM knowledge (equivalent to Raiser’s Edge/RENxt) desired
- Proficiency with Adobe Acrobat desired
- Strong customer-service orientation; aptitude for proactive and collaborative problem-solving
- Strong attention to detail and commitment to producing a high volume of high-quality work.
- Demonstrated work ethic; commitment to managing time and resources to ensure work is completed efficiently
- Ability to work collaboratively in a team environment with a wide range of constituencies
- Ability to prioritize multiple projects and demands, while keeping aligned on timing and project scope
- Ability to communicate clearly and concisely, both orally and in writing

About Philanthropy
Fred Hutch’s Philanthropy program raises funds for cancer and related disease research, care, and education to help Fred Hutch become the world’s best cancer center. Since the April 2022 merger that led to the formation of Fred Hutchinson Cancer Center, Fred Hutch has served as the cancer program for UW Medicine, and Philanthropy is proud to raise funds that fuel the adult oncology program on behalf of both Fred Hutch and UW Medicine.
Following board approval of an ambitious, 10-year comprehensive campaign, our team of more than 100 will grow to more than 150 over the next three years. Philanthropy staff implement high-performing, relationship-based fundraising programs that engage and inspire thousands of supporters who are passionate about preventing and eliminating cancer and infectious disease. Our FY24 goals include nearly doubling our annual fundraising, deepening our patient family fundraising, and advancing the first phase our comprehensive campaign through Fred Hutch’s 50th anniversary in 2025. About this Role
The Program Coordinator is part of the Experience & Engagement program within the Philanthropy department and reports to the Senior Manager, Stewardship and Recognition. The Experience & Engagement program is responsible for broad-based donor acquisition, communications, cultivation, stewardship, and events for Fred Hutch supporters and prospects. The Program Coordinator works in collaboration with the Senior Manager, Stewardship and Recognition, and staff across Philanthropy programs to provide support and coordinate stewardship efforts such as welcoming donors to gift clubs, entering gift club memberships, tracking recognition opportunities, and facilitating custom stewardship pieces.
This position is a hybrid role with a minimum 2 days per week at our South Lake Union campus. All applicants must submit a cover letter with their application in order to be considered.

The hourly pay range for this position is from $23.32 to $33.20 and pay offered will be based on experience and qualifications.
