- Responsible for triaging and initiating contact with study teams when a request for Consult is received for CCDA services, working closely with the Director/Manager.
- Responsible for managing and tracking client requests, identifying potential respondents and assigning requests. Based on an understanding of priorities, resources, and query category will triage requests and engage the appropriate principals to ensure timely action.
- Assist with onboarding/orientation of new CCDA Core Team members and departmental adjuncts including requesting various access, training etc.
- Enhance and maintain client project tracking system, monitor status, and ensure adherence to timelines and deliverables.
- Determine and facilitate provision of accounts and appropriate access for researchers to JHM systems that support the conduct of research.
- Create ad-hoc and standard reports, based on research community requests and utilizing technical knowledge of systems and institutional data.
- Provide key coordination for the informatics component of the External Advisory Board meetings, working with key leaders to gather, assemble and collate data, and prepare the annual report. Organize content for presentation and presenters for the annual meeting.
- Responsible for the financial and operational oversight of CCDA departmental adjuncts, tracking and updating adjunct members, coordinating invoicing, assisting as needed with monitoring training and certification requirements, communicating as needed with departmental managers and adjunct staff.
- Track and generate invoices and work with the ICTR Finance team project related CCDA operations.
- Assist with, and contribute to, Annual Progress Reports and competitive grant renewal applications as needed.
- Represent the program in operational meetings to key stakeholder groups, including program faculty, ICTR administrative staff, Executive Committees, as well as external departmental staff and faculty and collaborators.
- Perform minor aspects of programming to create basic drag drop reports (Bar Charts, Histograms etc.) and manage basic administrative functions of JIRA, an issue and project tracking software used for JH research related software and mobile applications.
- Coordinate content generation and maintenance of internal and external websites in collaboration with the CCDA Director and Marketing and Communications.
- Organize, update and maintain departmental documentation on Confluence (internal ICTR website). Design simple technical solutions as need for designing Confluence pages.
- Other responsibilities as assigned.
- Proficient in Excel, running and creating functions, pivot tables, and charts.
- Proficient in working with tools like Confluence, Jira for documentation.

- Five years progressively responsible administrative experience, with some demonstrated experience in data and/or project management.
- Proficiency with Microsoft Word, Excel, and PowerPoint.
- Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
- Bachelor’s Degree.
- Experience with clinical research projects.
- Work experience in an academic medical environment.
The Core for Clinical Research Data Acquisition (CCDA) is one of the ten Data Trust analytic teams responsible for assisting Hopkins researchers with accessing clinical data for research purposes. We are seeking a Program Operations Coordinator CCDA who demonstrates knowledge of CCDA team processes and provides support for the day-to-day operations of the CCDA. This position will act as liaison between CCDA staff and clients when needed, and regularly engage with internal and external stakeholders.
