      Position Overview

      Under the general direction of the Director of Programs, assists in coordinating a variety of administrative and grants management tasks, in facilitating the effective management of day-to-day operations of Agency programs, and in the promotion and development of the arts in the state of Illinois.

      Essential Functions

      1. Assists in the planning and coordination of grant programs and activities. Responds to the needs of constituents. Assists in scheduling and organizes grant writing webinars and Informs organizations, artists, and potential grantees of Agency programs and services. Assists constituents with application procedures and provides technical assistance.
      2. Assists in reviews of applications and supplemental materials. Assists in reviewing constituent budgets, tracks expenditures, and grant-related activities. Prepares reports and updates records as needed.
      3. Assists in scheduling, organizes, and facilitates review panel meetings and events. Assists in the recruitment and orientation of advisory panelists. Assists in preparing panel review materials and maintains agenda. Assists in preparing and submits all documents required for processing advisory panel recommendations for Council action. Recommends action to be taken to Senior Staff. Reviews all required follow-up documents submitted by applicants.
      4. Maintains positive relationships within the Division of Programs by working with staff to collaboratively review arts program needs and assists in setting future goals for Agency. Maintains strong and positive relationships with Agency constituents and outside arts communities.
      5. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

      Minimum Qualifications

      1. Requires knowledge, skill, and mental development equivalent to four years of college, with courses in the liberal arts, the humanities, the performing or fine arts, or closely related area.
      2. Requires two years professional experience in the promotion of the arts or arts programs.

      Preferred Qualifications

      1. Prefers one (1) year experience working for an Arts Council or similar organization in implementing policies, procedures, and programs.
      2. Prefers one (1) year experience establishing and maintaining working relationships with artists or not-for-profit arts organizations, and the general public.
      3. Prefers one (1) year experience working with the principles and practices of grants application and monitoring.
      4. Prefers one (1) year of professional experience writing and conducting oral communications.
      5. Prefers one (1) year working knowledge of the National Endowment for the Arts and its programs.
      6. Prefers one (1) year experience researching, collecting, and compiling data into comprehensive reports.

      Employment Conditions
