      Summary

      Responsible for:

      • Provides direct supervision for a team of direct service staff (Educational Coaches) serving clients at Pasadena City College.
      • With the guidance of the Educational Navigator, manages the Educational Coaches to provide person centered plan for clients and assists in updating the plan document identifying desired goals, objectives and action plan.
      • Ensuring safety of program participants while involved in programs by ensuring staffing ratios and requirements are met.

      Primary duties

      Supervision of Staff/Team Development

      • Direct Supervisor to assigned Educational Coaches, responsible for training and supervising and evaluating their work.
      • Works with Educational Coaches and Educational Navigator to plan and implement methods and activities that will ensure the goals of the person-centered plan are met; evaluates and plans activities; provides advice and guidance as appropriate.
      • Guides and advises Educational Coaches regarding program participant developmental or behavioral issues, implementation of activities and other items.
      • Performs supervisory duties including special emphasis on training program staff, interviews applicants for employment; reviews progress of assignments; conducts performance appraisals and recommends salary increases; resolves discipline problems and recommends termination as necessary; and develops higher levels of expertise in staff members by encouraging further education, participation in seminars and providing learning opportunities within the program.
      • Provides support to the Program Director with recruiting, interviewing, hiring, and training Educational Coaches.

      Program Delivery

      • Ensure suitable clients transition into College to Career program through the Discovery Phase, preparation of individual transition plans in conjunction with AbilityFirst’s internal teams and providing direct service staff with background information on new College to Career clients.
      • Monitor client progress through assessment tools/data gathered from coaches, as well as conducting College to Career site and community observations.
      • Provide crisis support as needed, as well as assistance with self-advocacy and case coordination services for clients as appropriate.
      • Performs all the duties of program delivery staff in order to meet required ratios.
      • Works within budget guidelines set by Program Director to deliver the program.

      Development/Fundraising

      • Provides participation in the fundraising and marketing activities of the agency; attends special events; encourages staff to actively participate.

      Quality Assurance

      • Assumes responsibility for the smooth and safe operation of the program and supervision of all staff in the absence of the College to Career Director.
      • Under the supervision of the Program Director, develop and sustain positive working partnerships with community employers, volunteer sites, public education facilities, and cultural, social-recreational, and civic organizations. Each individual Futures Plan will determine the variety of these partnerships. The Program Supervisor is also expected to establish and maintain strong working relationships with clients, client families, Regional Center counselors and collaborating social service agencies.
      • Maintain systems to identify and remediate health and safety risks at all program locations. Establish and monitor ongoing safety training and risk management systems for college sites. Conduct safety meetings on a regular basis and conduct training in-services as needed.
      • Schedule, monitor and log monthly emergency drills as deemed necessary for each site. Monitor clients for signs of illness/injury/abuse and provide follow-up as appropriate. Intervene in medical, behavioral, and other emergencies. The Area Supervisor will also participate in the development and implementation of relevant Career Development Curriculum, under the supervision of the Program Director.
      • Ensures that all paperwork, logs, and other program documentation are complete and accurate. Holds staff accountable for completing case notes and other documentation in a timely manner.

      Secondary duties

      • Recruits, trains, and supervises employees, as directed by the Program Director.
      • Works with program participants in specialized or general instruction.
      • Works in administrative, fundraising, or other capacity when needed.
      • Safely transports program participants using company owned vehicles. Only permitted for Area Supervisors (who are at least 21 years of age) and have been included on our designated drivers list for insurance purposes.
      • Performs any or all duties as required or requested by supervisor.

      Supervisory responsibility

      Supervisor in this position manages one or more programs with a staff in proportion to the established standards. The Area Supervisor also acts as a role model and in a leadership role for AbilityFirst staff, volunteers, and others.

      Environment

      The working environment for this position will vary depending on the type of activity or program the participants are engaged in, and may be outdoors, indoors in a classroom, a retail or restaurant establishment, museums, or other locations providing opportunities for community integration. The indoor environments will generally be clean and comfortable, but when outdoors there may be exposure to dust, rain, extremes of temperature and other environmental conditions. There may be exposure to minor annoyances such as noise, odors, and drafts. The Area Supervisor will generally be in a non-confined environment in which he or she is free to move about at will. However, when working with program participants, he or she may not leave them unattended until replaced by another staff member.

      Physical activity

      This position requires an individual to sit at a computer and drive a vehicle. The employee will be visiting various community and educational settings that may require the individual to walk up and down stairs, walk distances greater than one mile while on campus or engaged in community integration activities, and stoop, squat, and stand for short periods.       Equipment operation

      The Program Supervisor in this position operates the following equipment:

      • Standard office equipment, including telephone, Computer, Copy machine.
      • Educational materials and equipment .

      Position requirements

      These specifications are general guidelines based upon the minimum ordinarily considered essential to satisfactory performance in this position. Individual skills and abilities may result in some deviation from these guidelines.

      To perform effectively in this position, the Program Supervisor is required to have:

      • A Master’s degree in behavioral science, education or related field is preferred. Bachelor’s degree required.
      • Bilingual English/Spanish skills preferred.
      • Strong organizational skills, excellent written and verbal communication skills and staff management experience are essential.
      • A working knowledge of program and curricula development and implementation for developmentally and physically disabled children and/or adults.
      • Must be at least 18 years of age.
      • Demonstrated leadership and team building experience.
      • Demonstrated conflict resolution/problem solving experience.
      • Personal computer skills including word processing.
      • Effective oral and written communication skills to represent the organization.
      • Demonstrated supervisory skills and experience sufficient to guide and manage assigned staff.
      • Ability to work independently and make mature business decisions.
      • A current California drivers' license and driving record acceptable to the Agency's insurance carrier.
      • Adheres to all vehicle code and operation regulations, including speed limits, according to the State of California Department of Motor Vehicles while driving an Agency-owned vehicle.
      • Three to five years’ experience with the population being served.

      The Program Supervisor is also required to comply with the following:

      At time of hire: meet State licensing health requirements, provide proof of a recent tuberculosis test, to be able to obtain fingerprint clearance from the DOJ, and pass background check and submit to a drug screening.

      Within six months of initial date of hire: provide or complete Red Cross First Aid and CPR Certification.

      The above certifications must be kept current.

      Typically, these requirements may be met by a combination of education in social services, education, psychology, or related discipline and three to five years of experience in increasingly responsible program service, professional and supervisory positions in similar work. Prior education and/or experience in special education are preferred.
