The Department of Accounting within the Faculty of Economic & Management Sciences, at the University of the Western Cape is accredited by the South African Institute of Chartered Accountants (SAICA). The Department offers a three-year degree and a one-year Postgraduate Diploma in Accounting (PGDA) towards SAICA’s Initial Test of Competence (ITC). The Department also offers a three-year degree in accounting, which is accredited by the South African Institute of Professional Accountants (SAIPA).
The Department currently has a vacancy for a Thuthuka Programme Officer. The successful candidate will be expected to make a major contribution in Departmental and Academic Administration as it relates to the Thuthuka programme at both undergraduate and postgraduate levels. This would mean working closely with the Departmental Programme officer to align strategies at a project level as well as departmental level.
The successful candidate will be required to perform in the following key areas:
Report writing:
o Assist with the compiling of reports and providing of statistical information for submission to the Thuthuka Management committee.Meeting Administration:
o Arranging meetings between funders and the project team
o Diarising and creating dates for quarterly meetings, collating information from all stakeholders, arranging logistics.Marketing:
o Arranging venues in order to promote the institution and funders at events
o Arranging Thuthuka and related events
o Assist with preparing marketing material for the programmes.Finance & Budget Administration:
o Assists with procurement and financial administration for the Project
o Assist with processing orders and preparing documents for payments
o Assist with preparing payments for bursary recipients (fees, allowances, travel allowances, accommodation)
o Assist with the procurement of all needs to the project in order to achieve the milestones
o Assist with preparing payment schedules for fundersStakeholder Engagement:
o Liaising with all stakeholder queries (verbal and written)
o Point of call for stakeholders for daily queriesGeneral Administration:
o Compiling lists for Thuthuka submissions.
o Assist with the tracking of student progress for reporting and intervention
o Assist with travel arrangements, accommodation bookings etc. as requested.
o Assist with booking and securing venues for meetings, tutorial support, workshops and seminars.
o Maintain and implement office process and procedures
o Document management
o Telephonic communication
o Written communication
o Dealing with student queries (verbal and written)
o A relevant degree (NQF 7) in business/finance/management/education
o At least 3 years’ relevant administrative experience in a Higher Education environment, preferably on a Thuthuka project or similar initiative.
o Working knowledge of all university systems.
o Proven experience in organizing high profile meetings, general meetings and prestigious functions.Advantageous:
o Experience in an Accounting accredited department who also has a Thuthuka program
o Proven experience in working with professional bodies (e.g. SAICA)Key Competencies:
o Excellent communication and interpersonal skills.
o Ability to work efficiently under pressure and without supervision.
o Ability to use initiative with sound organisational skills.
