- Set up projects in ERP system, ensuring accuracy of billing terms, budgets, client info
- Generate accurate, timely invoices in accordance with contract terms and client specifications
- Maintain project contracts, supplemental agreements, and task work orders
- Coordinate with project managers and internal departments to resolve billing discrepancies and respond to inquiries
- Maintain digital records of contracts, billing documents, and communications
- Support audits by providing billing backup and documentation as needed
- General admin and clerical duties to support the accounting department
- Perform additional assignments as directed by management
- Proficiency in project management/accounting/ERP software (e.g., Deltek or similar)
- Strong Excel skills (xlookup, pivot tables a plus)
- Proficiency in and/or peripheral knowledge of general accounting principles
- Excellent time management skills and ability to effectively prioritize tasks
- Strong attention to detail
- Strong interpersonal communication skills with both internal and external clients
- Ability to work in a team environment
- Research skills with the ability to follow through to resolve problem situations
- Understand and maintain complete confidentiality of all company and client financial information
- Analytical thinking – Ability to break down problems and issues into components; analyze the costs, benefits, opportunities and risks associated with each alternative solution.
- Client focus – Respond to client requests courteously and in a timely manner. Communicate with clients to ensure that they are satisfied and that their needs are being met.
- Communication – Organize and express ideas and information clearly, using appropriate and efficient methods of conveying the information.
- Quality of Work – Demonstrate concern for the accuracy and quality of work, and take steps to learn from and correct mistakes, improving the overall product.
- Handling difficult issues – Manage difficult issues and confrontational situations with a clear head, finding the solution most beneficial to all concerned.
- Education: High school diploma required; associate’s degree or bachelor’s degree in accounting or business preferred
- Experience: 1 year or more of billing, project accounting, or administrative experience
- Accuracy and timeliness of work
- Knowledge and application of accounting principles in the performance of daily tasks
- Ability to work unsupervised and problem solve without support
- Communications: Must be able to read, write and speak English fluently
- Must be able to communicate clearly in person and over the phone
- Visual acuity adequate to perform job duties, including reading information from printed sources and computer screens
- Must be able to sit at a desk for long periods of time
- Manual dexterity to operate equipment and perform manual responsibilities
- Some lifting may be required on occasion, help will be provided if needed

Compensation:
Salary range is $26 - $30/hr. This is what we reasonably expect to pay for the role.
The pay scale for this role considers a wide range of factors when making compensation decisions including, but not limited to, skill sets, experience and training, licensure and certifications, and other business and organizational needs. Please note, the disclosed pay scale estimate has not been adjusted for the applicable geographic location where the position may be filled.
You may also be eligible to participate in a discretionary incentive bonus program which is dependent on various factors, including, but not limited to individual and organizational performance.
