      Position Description

      POSITION SUMMARY
      St. Joseph's Healthcare Hamilton (SJHH) is embarking on a modernization of its business applications through the deployment of an Enterprise Resource Planning (ERP) and Occupational Health and Safety (OHS) solution. The initiative - the Business Transformation project - will involve the replacement of applications for all business functions including Human Resources, Finance, Supply Chain, and OHS. Ultimately, the goals of the project are to increase the efficiency and effectiveness of business processes such as:

      • Improving information flow through increased level of data integration
      • Decreasing the administrative burden on clinical operations through the implementation of digital staff scheduling and time/attendance functionality
      • Supporting more informed decision-making through better access to consolidated data, adaptive planning capabilities, and advanced analytics
      • Increasing empowerment of staff through the deployment of self-service tools
      • Improving use of hospital resources to support better care for our patients and provide greater value to other stakeholders

      SJHH will require three (3) Project Coordinators to support the implementation of the solution within the following area:

      • Change Management
      • Communications
      • Training

      QUALIFICATIONS:
      1 year college diploma in Business/ statistics/ IT and/or Project Management
      Undergraduate degree in Business/ statistics/ IT and/or Project Management
      1 to 3 years' previous experience
      Strong organizational skills required to update and maintain the project repository of project information and assist with the organization of meetings and events.
      Demonstrated high level of verbal and written communication skills.
      A team player, willing to go the extra mile to ensure team and project success.
      Determination to overcome challenges and deliver results within the established timelines.
      Ability to manage through ambiguity and complexity.

      RESPONSIBILITIES:
      Assists the Business Transformation project team in drafting and issuance of project proposals, budgets and schedules.
      Prepares reports on budget, timelines and project status for monthly reporting.
      Follows-up with clients for information/ documentation required for the Clinical Transformation project and to gauge the level of satisfaction with assigned resources and project progress.
      Assists in the development, planning and execution of testing project related applications as appropriate.
      Effectively and accurately communicate relevant project information to client and project teams.
      Assists other Clinical Transformation project team members in contributing to the creation, further development and adherence of project methodologies.
      Supports the team in scheduling of meetings, creation of agenda and minutes.
      • Updates and maintains the project repository of project information in MS Project, Excel, PowerPoint or other MS applications to include:
      • Project Staffing Assignments and Org Charts
      • Team member assignments to tasks in MS Project
      • Project Budget and Financial tracking information
      • Work Plan/Schedule Modifications
      • SharePoint Project Team Site participation/permissions
      • Project Purchase Order Requisition Creation
      • Updates to Issues, Risks, Action Item Logs
      • Updates to Project Status Reports
