      About Ideal Restoration Inc.

Ideal Restoration, a Bay Area leader in emergency and hazard response, provides customized solutions for environmental hazards and restores facilities damaged by disasters. We manage issues and expectations from initial engagement, aiming to minimize costs, risks, and business impact, while ensuring building occupant health and safety.

      Who We're Looking For

We seek a highly organized and customer-focused Project Coordinator to support our Project Managers and field teams in delivering environmental remediation services, creating exceptional client experiences, and ensuring successful project completion.

      Who are you?

You are inspired by Ideal's mission, thrive in a fast-paced environment, and are passionate about delivering excellent client experiences through seamless project support. You are results-oriented, resilient, confident, and proactive in executing projects effectively. An organized problem-solver, you love streamlining processes and enhancing team collaboration, meticulously managing documentation, communications, and administrative tasks to ensure timely and profitable project delivery.

You are passionate about supporting environmental remediation projects, resolving issues proactively, and restoring properties to pre-loss condition. As a trustworthy central contact point, you measure success by project progression, colleague support, and client satisfaction. You are experienced, resourceful, and collaborative, committed to growth through effort, feedback, and learning.

      What's the job?

Your mission is to provide exceptional project coordination for environmental remediation projects, ensuring seamless communication, efficient resource allocation, and high customer satisfaction. You will facilitate communication between office and field teams, manage documentation, remove obstacles to project completion, and foster stakeholder collaboration.

As a key contact, you will liaise with vendors, the warehouse, insurance adjusters, project managers, and customers. Your responsibilities include managing the project lifecycle—assembling estimates, notifications, and manifests, utilizing HubSpot, developing material allowances and scope sheets, tracking contracts, invoices, submittals, and estimates, providing daily updates, maintaining schedules and files, collecting reports and logs, preparing change orders, assisting with material purchases, and facilitating warranties and certificates of completion.

      What are we looking for?

      • 1-3 years of experience in construction or restoration project coordination or similar administrative roles, with strong organizational and communication skills; high school diploma or GED required.
      • Proficiency in Google Suite; experience with Xactimate is a plus; familiarity with CRM or project management tools like HubSpot is highly desirable.
      • Bilingual in English/Spanish is required.
      • Basic understanding of financial reports and strong mathematical skills.
      • Exceptional listening and communication skills for effective stakeholder interaction.
      • Proactive, detail-oriented, and capable of working independently and collaboratively in a fast-paced environment.
      • Availability during standard business hours (Monday - Friday, 7:30 AM - 4:30 PM) with occasional overtime or schedule adjustments.

      Physical Requirements

Ability to stand, bend, kneel, reach, stoop, lift/carry up to 30 lbs, operate a computer, sit for extended periods, communicate in person/virtually, and drive with reliable transportation.

      Benefits and Compensation
