      The Project Coordinator will work with Project Managers to provide proper administration of MBTA Transit-Oriented Development (TOD) projects. These projects involve the oversight of third-party entities such as private developers, contractors, and city/state agencies, who contemplate construction activities in on MBTA property or air-rights, adjacent to, or in close proximity to existing MBTA property, facilities, and/or with the potential to foul or obstruct the operational Right-of-Way. The Project Coordinator will support Project Managers supporting the third-party entity and their projects through the MBTA required design review and coordination from project inception (planning) through the design phase (conceptual, preliminary, and final) and the construction phase (including project close-out), with a focus on project reporting and tracking of schedules and budgets.
      • Assist in the delivery of projects in accordance with the following MBTA policies and procedures as stipulated in the Project Manager's Manual; Project Controls Manual; Quality Assurance Manual; Resident Engineer's Manual; Contract Administration Policies and Procedures; MBTA Directives published on the MBTA Web Page or provided directly by the Authority.
      • Assist in analysis and appraisal of current project status and forecast of activities in order to ensure completion of project on schedule and on budget.
      • Prepare project related correspondence, reports, charts, and presentations utilizing Microsoft Word, Excel, Database and PowerPoint.
      • Assist in the negotiation and preparation of force accounts, consultant contracts, professional service amendments and contractor's claims, payment invoices or change orders.
      • Organize and maintain effective means to interpret, present and communicate project information at internal and external meetings with developers, legislators, community groups and public agencies.
      • Organize and prioritize workload, assist Project Manager(s) in identifying project needs/requirements.
      • Coordinate project tasks with other MBTA personnel, including contract administration staff, field staff and other project coordinators, as required.
      • Coordinate project tasks with other Departments, including but not limited to Administration, Capital Programs, Engineering and Maintenance, and Operations.
      • Assist in coordinating projects with outside agencies, abutters, utility companies, and community groups who are affected by proposed construction, as required.
      • Work independently in addressing complex tasks in a time sensitive environment.
      • Follow up on actions required for task completion while seeking guidance as necessary.
      • Respond to each inquiry, whether from a customer, vendor, or co-worker in a professional and courteous manner.
      • Adhere to the rules, regulations, collective bargaining agreements and policies of the Authority including the EEO, Anti-Discrimination and Anti-Harassment and Anti-Retaliation policies.
      • Attend off-site meetings as necessary.
      • A bachelor’s degree from an accredited institution.
      • Three (3) years of experience in project administration or coordination duties.
      • Proficiency with Microsoft Word, Excel, Database, and PowerPoint.
      • Effective and professional writing and communication skills.
      • Excellent organizational, analytical, confidentiality, multi-tasking, time management and interpersonal skills.
      • The ability to effectively communicate with customers, employees, and vendors.
      • Excellent customer service skills.
      • The ability to work effectively with a diverse workforce.
      • A High School Diploma or GED with an additional seven (7) years of directly related experience substitutes for the bachelor’s degree requirement.
      • An associate degree from an accredited institution an additional three (3) years of directly related experience substitutes for the bachelor’s degree requirement.
      • A master’s degree in a related subject substitutes for two (2) years of general experience.
      • A nationally recognized certification, or statewide/professional certification in a related field substitutes for one year of experience.
