      The Project Management Coordinator (Real Estate & Facilities) plays a critical role in supporting project managers in the planning, execution, and tracking of real estate and facilities-related projects. This position ensures smooth project operations by handling administrative, financial, and procurement-related tasks while facilitating effective communication between stakeholders. The ideal candidate will have strong organizational skills, financial acumen, and the ability to manage multiple priorities in a fast-paced environment.

      This role is approved to be either Remote within the United States or Hybrid for associate in Newport News, VA, in accordance with company policy.

      Responsibilities

      • Assist project managers in developing and maintaining essential project documentation, including budgets, schedules, scope statements, and project plans.
      • Monitor project milestones and deliverables, ensuring timelines are met and tasks are completed efficiently.
      • Maintain accurate records of project-related documentation and ensure proper version control.
      • Process invoices, manage purchase orders, and maintain financial records to support project expenditures.
      • Assist in tracking and reconciling project budgets, ensuring accuracy and compliance with financial policies.
      • Coordinate with vendors and internal teams to oversee procurement processes and ensure timely execution of purchases.
      • Organize and schedule stakeholder meetings, including coordinating logistics, preparing agendas, and documenting minutes.
      • Act as a key liaison between project teams, internal Real Estate and Facilities departments, and external partners.
      • Provide timely project status updates, reports, and analytics to stakeholders to ensure transparency and informed decision-making.
      • Utilize internal technology tools to create dashboards, generate analytics, and produce reports for monitoring project management operations.
      • Support the implementation and optimization of project management software and tools to enhance team efficiency.
      • Assist in identifying opportunities for process improvements through data analysis and performance tracking.
      • Foster strong working relationships across teams to ensure smooth task execution and successful project outcomes.
      • Work closely with internal Real Estate and Facilities teams, contractors, and vendors to coordinate project deliverables.
      • Promote a culture of collaboration and continuous improvement to enhance project efficiency and stakeholder satisfaction.

      Skills and Experience

      • Strong proficiency in budgeting, financial tracking, and project management software (e.g., Microsoft Project, Smartsheet, PowerBI, etc.).
      • Excellent time management and organizational skills, with the ability to multitask and meet deadlines.
      • Strong written and verbal communication skills, with the ability to effectively interact with diverse stakeholders.
      • Solid understanding of real estate and facilities management trends, providing data-driven insights and recommendations.
      • High attention to detail, proactive problem-solving skills, and the ability to work under pressure in a fast-paced environment.
      • 5-8+ years of experience in supporting project management operations.
      • Bachelor’s degree in Project Management, Business Administration, Finance, or a related field.
      • Certifications (Preferred): PMP, CAPM, or relevant project management certification.

      Job Requirements

      • Flexible work options, including remote or on-site at the Newport News, VA headquarters.
      • Occasional travel may be required to support project execution and stakeholder meetings.
      • Ability to work independently and collaboratively in a dynamic, deadline-driven environment.

      Actual pay rate may vary depending upon location. The estimated pay range for this position is below. The specific rate will depend on a candidate’s qualifications and prior experience.
