      Job Description:

      The College of Medicine (COM) is seeking a Project Manager I to coordinate and support projects that will advance the strategic priorities of the COM Quality and Patient Safety Initiative (QPSi). Reporting to the Director of Operations and Strategy, QPSi, the incumbent will contribute to diverse projects that will drive innovations to improve quality and patient safety and support workforce development.

      The position requires a high level of organization, attention to detail, ability to adapt, excellent time management, and strong communication and interpersonal skills.       More About This Role

      Project Management

      • Contribute to multiple projects by assisting with project management processes and methodologies to ensure projects are delivered on time, within budget, adhere to high-quality standards, and meet assigned expectations.
      • Collaborate with internal and external stakeholders to help ensure projects have well-defined project scope, goals, and deliverables aligned with the QPSi's priorities.
      • Assist with developing project plans and timelines; monitor team assignments, efforts, and resource needs; and assist with troubleshooting issues, as needed.
      • Organize and conduct project team meetings, including scheduling, developing agendas, documenting, communicating, and tracking action items, and coordinating follow-up between meetings to ensure progress on action items.
      • Work collaboratively and proactively with cross-functional teams across the QPSi to ensure appropriate structure and support for project activities.
      • Assume role as a team member, technical resource, and process facilitator on projects, providing support as requested and contributing to developing ideas and materials to keep QPSi projects on track and in compliance with quality and privacy standards.
      • Proactively document, manage and communicate ongoing changes in project scope, identify potential challenges, and assist with devising contingency plans.
      • Assist with developing post-project transition, sustainability, and improvement plans.

      Project Administration/Business Operations

      • Gather and organize information and materials to assist with developing and improving QPSi policies, processes, tools, and workflows to promote best practices and standardization across projects to enhance project management implementation and improve outcomes.
      • Assist with the organizational and administrative elements of managing QPSi projects, including taking the lead for developing and implementing workflows and processes for project team meeting scheduling, documentation of discussions, tracking of action items, and follow-up.
      • Assist with developing and implementing processes to conduct reviews and evaluations of projects to capture lessons learned, and implement process improvements to enhance project delivery and organizational effectiveness.
      • Assist in the overall identification, intake, resourcing, tracking, and reporting of QPSi projects.

      Project Communications & Relationship Management

      • Assist in collecting data and information to develop progress reports, proposals, articles, presentations, and other relevant documents and communication materials for the QPSi.
      • Establish and maintain relationships with internal and external stakeholders and partners to understand their needs and perspectives, build alignment on objectives, and ensure ongoing buy-in across project activities.
      • Contribute to a project team environment that fosters trust, collaboration, and solution-oriented focus.
      • Demonstrate flexibility, teamwork, and creativity in effectively addressing challenges and adjusting project plans, as needed.

      Expected Salary:

      $53,000 to $63,000 - commensurate with education and experience

      Minimum Requirements:

      Bachelor’s degree or an equivalent combination of education and experience.

      Preferred Qualifications:
      • Self-motivated and comfortable working independently, as a team leader and team member.
      • Demonstrate skills and proficiency in Microsoft suite of programs (Excel, Word, PowerPoint, Teams).
      • Experience with or strong interest in learning about applying project management tools (e.g., Smartsheet) and methodologies.
      • Strong analytical, communication, facilitation, and interpersonal skills.
      • Excellent attention to detail.
      • Ability to prioritize and execute tasks with minimal supervision.
      • Ability to manage and maintain confidential or sensitive information and handle protected health information.
      • Ability to meet deadlines and generate high-quality deliverables while balancing multiple responsibilities.
