      Job Description

      We invite you to bring your competence as an entry level professional in engineering & planning who has the capability to work on projects involving multi-disciplinary design teams in building/ transportation / water markets.

      This is an incredible role to understand the project management world on big multidisciplinary projects and would open doors to several key roles in project management in future.

      Project Planning Coordinator role is the key to be able to deliver strategic vision of a project. It includes the coordination of interfaces and information flows between external and internal stakeholders, to deliver an integrated design solution. Project Planning Coordinator shall co-ordinate with Project Manager(s) of Principal Business Unit and Technical Manager/ Team Leader/ Design Lead of respective discipline and be primarily involved in delivering the scheduled tasks and is expected to be a good team player within the Project Management team.

      You will join our REC department

      As our new Project Planning Coordinator, you will be part of a world class, innovation driven Engineering Design Centre owned by an independent trust and its employees. REC is a highly sophisticated centre of engineering excellence and based in our India head office in Gurgaon. Working in partnership with all our established offices globally, the Ramboll Engineering Centre (REC) is a Centre for excellence in design by offering optimized solutions to the rest of the organization.

      Your key tasks and responsibilities will be:

      • Cross-Disciplinary Coordination: Facilitate communication and coordination between various disciplines, ensuring smooth workflow and alignment across teams. Manage documentation, establish, and maintain folder structures, and ensure compliance with project specifications through collaboration with discipline leads.
      • Interface Management: Initiate and oversee the interface management process, including the development and maintenance of the Organizational Chart and Interface Matrix, to ensure seamless integration across all project components.
      • Resource Management: Update and manage project resources, ensuring all team members have the necessary tools and information.
      • License Management: Keep track of and renew necessary licenses for project operations.
      • Update Project Organogram periodically.
      • Organizational Support: Assist in updating the organization plan and maintaining contact lists and dashboards.
      • New Resource Onboarding: Guide new resources, manage SharePoint for project startup, maintenance, and conduct weekly follow-ups.
      • CV Coordination: Coordinate with the project team and manage CV submissions and approvals.
      • Organizational Planning: Assist in planning and organizing internal and external meetings, including preparing agendas and minutes.
      • Email Management: Manage and organize project-related emails, ensuring effective communication within the team and with external partners.
      • Design Follow-up: Coordinate with the design team to ensure project designs are on track and meet project requirements.
      • Greetings Mail: Send welcome emails to new team members and stakeholders.
      • Guiding New Resources: Guide new resources to the start-page and other project information in SharePoint.
      • Authorization Applications: Apply for necessary authorizations for resources.
      • License Monitoring: Monitor licenses for all tools and ensure they are up to date.
      • Accessibility Updates: Update accessibility for resources at various levels.
      • Organization Plan Updates: Keep the organization plan updated.
      • Contact List Management: Update the contact list with new resources and maintain dashboards.
      • CV Management: Send CVs to clients and apply for project approvals.
      • Weekly Follow-ups: Conduct weekly follow-ups with new resources for challenges (if any) in the project.
      • SharePoint Management: Work with SharePoint for project startup and maintenance.

      • Must possess B-Tech or Masters/ PG in Construction Management/ Project Management with 0-2 years of professional experience.
      • Excellent organizational and multitasking skills.
      • Sound Knowledge of Project Management.
      • Must be highly competent in written and verbal English language.
      • Ability to work independently and as part of a team.
      • Should be passionate about engineering with an attitude of absolute intolerance for non-compliance in relation to people safety, environment, or product quality.
      • Attention to detail and problem-solving skills.
      • Should be committed to both their work and personal development, with a willingness to widen their experience and knowledge base.
      • Should be a competent user of IT Tools in particular Word, Excel, Outlook, PowerPoint, scheduling and reporting tools like MS Project, Primavera P6, PowerBI and SharePoint etc.
      • Should be able to coordinate with all Project members to gather project data and should efficiently convert it into Information & reports.
