      JOB DESCRIPTION

      Position Title: On-Site Property Supervisor

      Reports to: Director of Property Maintenance

      Department: JHRL Employee Housing Property Management

      Classification: Year-Round Full Time

      FLSA Status: Exempt

      GENERAL PURPOSE

      Performs physical building maintenance, repairs, housekeeping, and accounting duties for all JHRL managed units at JHMR employee housing properties, while providing an exceptional living experience for employee residents. In accordance with federal, state, and local standards and guidelines assure that the highest degree of quality resident care is always maintained.

      ESSENTIAL FUNCTIONS

      • Oversee and complete resident move-ins and move outs in accordance with Human Resources (HR) employee/tenant allocation.
      • Communicate pertinent move in information to tenants prior to move in, including but not limited to keys/codes, parking pass information, etc.
      • Notify tenants when a roommate is moving into the unit.
      • Verifies and ensures units are ready for arrival including light checks, trash removal, completing outstanding work orders and ensuring unit cleanliness.
      • Distribute, track, record, and rectify issues identified in move-in inspection forms.
      • Secure all properties and inspect for damage after move outs in a timely manner.
      • Reports any maintenance problems or damage of properties by tenants or others to Human Resources & Director of Property Maintenance.
      • Schedule Housekeeping for departure deep cleans and carpet upholstery cleans, and Maintenance to turn over properties for subsequent season move ins.
      • Issue, manage, and track parking pass distribution and vehicle information to ensure appropriate usage. Monitor parking lot use.
      • Respond to tenant after hour lock outs.
      • Ensure tenants comply with property rules/guidelines and report violations to HR. Communicate to tenants about lease violations, administer fees, and communicate to Human Resources as necessary.
      • Inspect exteriors/interiors of properties and grounds on regular basis to identify safety concerns, report hazards, evaluate solutions and resolve in timely manner.
      • Coordinate emergency repairs with sub-contractors and reports to Director of Property Maintenance.
      • Perform general maintenance and/or coordinate sub-contractors, as needed, to maintain units in top condition. Ensure all fixtures and furnishings are in good repair and working condition, including but not limited to walls, ceilings, floor coverings, furniture, fixtures, cabinetry, appliances, plumbing, electrical, and any other aspects related to the unit.
      • Coordinate spring and fall maintenance, window washing, and furnishing inspections.
      • Schedule snow removal for employee housing properties.
      • Ensures building mechanical, water and electrical equipment is maintained in operating condition including but not limited to heating units, air handling units, fire systems, automatic suppression sprinklers, roof ice melt system, etc.
      • Manage and maintain common spaces in employee housing including laundry areas, perform common area light checks, etc.
      • Negotiates with sub-contractors and oversees performance of service contracts for routine annual/bi-annual building/grounds maintenance.
      • Utilizes Buildium Property Management system for tracking and assigning resident maintenance requests, while completing work orders based on level of urgency.
      • Responsible for the proper coding of all operating expenses and the accurate/efficient billing of maintenance work orders through accounting.
      • Maintains incident log and reports any major events to Property Manager.

      OTHER FUNCTIONS

      • Maintains cleanliness of working areas with an inventory of parts and hardware.
      • Cleans units and work as a housekeeper as needed.
      • Performs other related duties as directed by the Manager.

      JOB QUALIFICATIONS

      Knowledge, Skills, and Ability:

      • Ability to communicate well with others both verbally and written.
      • Have excellent time management.
      • Strong organizational skills and excellent attention to detail
      • Proficient with computers, specifically with Microsoft Office Suite including but not limited to Excel and Microsoft Teams, and ability to learn new software programs.
      • Strong understanding of building systems (electrical, plumbing, structural)
      • Ability to perform general maintenance and housekeeping.
      • Can manage several projects at the same time.
      • Ability to create and maintain a local knowledge and network of Jackson vendors.
      • Ability to work as part of a team and cross-functionally with JHRL business units, Human Resources team, and departmental managers as needed.
      • Ability to manage through conflict and promote a cooperative and problem-solving work environment.
      • Knowledge of operation, purpose and safety practices of all tools, equipment, supplies and procedures.
      • Must a valid driver’s license

      WORK ENVIRONMENT

      This job operates primarily in an employee housing residential setting. This role routinely uses computer and phone. Most work is completed in an indoor environment. Frequent outdoor environment to visit residential units to resolve issues. Outdoor environment may cause exposure to extreme temperatures and varying weather.

      PHYSICAL DEMANDS

      • Capable of lifting a up to 60 pounds.
      • Ability to walking around interior and exterior of residential properties to conduct inspections.
      • Ability to reach, push, pull, bend, squat, and grasp to perform maintenance tasks.
      • Ability to stand on feet for extended periods of time.
      • Prolonged periods of sitting at a desk and working on a computer and driving.
      • Extensive use of fingers to type and perform other computer work.
      • Hearing and ability to give and receive detailed information through oral communication at a normal and elevated speaking level.
      • Ability to drive a motor vehicle in extreme weather conditions.
      • Close visual acuity such as preparing and analyzing data and figures.
      • Must be able to walk up and down stairs carrying items.
      • Ability to drive a motor vehicle in extreme weather and varying road conditions.

      POSITION TYPE AND EXPECTED HOURS OF WORK

      • This job is year-round full time and typically works during daytime business hours. The role lives on site at an Employee Housing unit, on-call evening and weekend work is required as job duties demand to respond to after-hours lockouts, maintenance emergencies and/or fire alarms. Schedules and hours may fluctuate depending on business need.

      REQUIRED EDUCATION AND EXPERIENCE

      • High School Diploma or GED
      • Minimum 3 years property management experience
      • Minimum 2 years basic maintenance experience
      • Minimum 1 year experience with power tools and appropriate Personal Protective Equipment (PPE)

      PREFERRED EDUCATION AND EXPERIENCE

      • Employee housing, dorm, or high-density housing management experience
      • Property management software experience
      • Minimum 1 year experience in customer service
      • Minimum 1 year experience performing clerical work
