Job Description

- High School Diploma or equivalent
- Computer proficiency to include use of basic software applications (Word, Excel, etc.)
- Ability to work well with diverse groups of people
- Excellent verbal and written communication skills
- Ability to organize, prioritize and meet deadlines
- Satisfactory criminal background check
- Assist buyers with preparing solicitation and quote files in accordance with the USFR and State Procurement rules
- Process all new vendor requests in a timely manner
- Assist in maintaining vendor files and updates as necessary including, but not limited to: address changes, vendor name changes and use tax status.
- Review vendor files for accuracy and ensure that all required documentation has been obtained including Vendor Registration and W-9 forms
- Prepare annual contract renewals for District solicitations
- Maintain the District’s extended contract list and bid files
- Assist with compiling information and pulling documentation for audits
- Assist with the preparation of Governing Board agenda items
- Review all Contract Processing Forms and notify end users when contracts/agreements have been approved
- Educate prospective vendors on how to register on OpenGov to be added to the vendor database
- Assist with annual 1099 process and research any discrepancies
- Assist with updating the Purchasing related documents, forms, training materials, and website content as needed
- Archive District procurement records per the AZ State Library, Archives & Public Records Retention Schedule
- Assist with monthly p-card reconciliation
- Perform a wide variety of clerical tasks including typing, filing, coding, preparing reports
- Maintain a variety of records and files
- Maintain confidentiality of proprietary and other sensitive information related to procurement
- Assist buyers as required for the purpose of supporting them in the completion of their work activities
- Receive inquiries by telephone or in person and giving out appropriate information
- Perform all duties in a safe and prudent manner
- Perform other duties as assigned

Job Goal:
To assist buyers in purchasing processes including preparation and filing of purchasing documents, solicitation files, contract renewals, processing new vendor requests, updating forms and ongoing vendor maintenance.
