      GENERAL SUMMARY

      Under the general direction of the Director/Vice President of Real Estate and Facilities Planning and Construction responsible for portfolio management of Brigham and Women’s Hospital (BWH) off-campus real estate and facilities. In addition to its 4-million-square-foot campus in the Longwood Medical and Academic Area of Boston, the Brigham owns and leases several off-campus, satellite facilities throughout Eastern Massachusetts. The Portfolio Manager will work with Brigham real estate leadership to develop and accomplish long-term goals for real estate asset management; and work with senior management at satellite facilities to understand business needs and develop real estate plans/strategies to support those needs.

      PRINCIPAL DUTIES AND RESPONSIBILITIES:

      Develops and executes real estate portfolio strategies to ensure cost effective management of leased and owned off-campus properties.

      • Performs strategic planning, cost assessment and overall portfolio evaluation and analysis.
      • Works with real estate planning staff, clinical department heads, facility management teams, MGB general counsel and external consultants and attorneys to advise on leases, lease renewals and facility management issues.
      • Ensures the efficient review of lease renewals and terminations, discontinuance of underutilized leased properties, and negotiation of competitive rental rates and additional benefits (e.g., tenant improvement funds) for existing leases.
      • Assists negotiation of property acquisitions, lease agreements, terms and conditions.
      • Creates and delivers presentations on portfolio management options.

      Oversees the management of medical/professional office buildings and other properties owned or leased by the Brigham.

      • Develops and maintains a comprehensive database and mapping of leased and owned properties, facility condition, utilization, lease provisions and expirations, and advises management on the status of lease obligations and renewal options.
      • Develops policies and guidelines as relates to space optimization and lease management to ensure that assets are well utilized.
      • Develops and analyzes data on space utilization, users, occupancy and lease costs and projected renovation and/or relocation costs.
      • Reviews property management contracts and, as required, contracts for services of security, maintenance and grounds keeping.
      • Works collaboratively with MGB Lease Administration and Real Estate and Facilities staff to ensure Brigham properties are managed in accordance with lease provisions, applicable building codes and clinical regulations and standards; advises property management firms responsible for management/operations of satellite facilities to ensure that all required paperwork is maintained for Joint Commission and other regulatory agency visits.
      • Meets with department heads/physicians on matters concerning occupancy of rental space. Explains policies as they relate to lease management, payment terms, fit out provisions, etc.

      Responsible for real estate capital plans for satellite facilities.

      • Develops long-term capital plans and budgets for leased space / medical office buildings.
      • Maintains three-year capital plan forecast, prioritizing capital expenditures.
      • Analyzes existing lease agreements in relation to capital expenditures and provides recommendations for approval or amendment of agreements.

      Manages capital projects at satellite facilities.

      • Performs project management of select capital improvement projects at satellite facilities as necessary, including, but not limited to, ambulatory clinic renovations, public space improvements, office renovations, and infrastructure upgrades and replacements.
      • Plans, directs and oversees all activities for assigned projects from program inception through completion of construction, including feasibility, program development, design, cost estimating, and compliance with all applicable building codes and regulations; directs consultant architects, engineers and contractors.
      • Responsible for project budget, schedule, and user communications.

      SKILLS AND ABILITIES:

      1. Advanced interpersonal skills to deal effectively with individuals at all levels of the organization, including physicians, senior administrators, clinical operations directors, real estate project managers, and facility engineers, as well as outside attorneys, consultants, and construction contractors. Must be able to balance interests and effectively resolve conflicts.

      2. Strong project management, administrative and organizational skills. Must be able to effectively oversee all aspects of property management and steer projects to successful conclusion within tight time frames.

      3. Advanced analytical and problem-solving skills to anticipate and resolve issues. Must use sound judgment and professional skills to bring about workable solutions.

      4. Excellent presentation, verbal and written communications skills.

      5. Strong financial/real estate analytical capability and business planning skills; strong financial analysis, cost estimating and cost control skills. Strong negotiations skills in leasing terms and contract development. Ability to develop, analyze, and recommend alternative real estate strategies required, e.g., lease, purchase, master lease, etc.

      WORKING CONDITIONS: Frequent exposure to hazards usually associated with construction activities. Risk is minimal if appropriate precautions are adhered to.

      SUPERVISORY RESPONSIBILITY: May supervise project managers, various engineers and administrative personnel. May have responsibility for the training and direction of personnel from other departments (e.g. engineering) on a project basis.

      QUALIFICATIONS:

      1. Bachelor’s Degree in Business, Management, Engineering, Architecture, Facilities Engineering, or a related field or equivalent work experience.

      2. Minimum ten (10) years or more of progressively responsible experience in corporate or institutional real estate/facilities management. Experience with site acquisitions, medical office space leasing, capital and operating budget development, database management, real estate financing, subleasing space, space demand forecasting, space programming, CAFM software, web-based CRE tools, lease administration, and lease analysis software. Knowledge of Boston/Massachusetts real estate market and healthcare industry experience preferred.
