      Job summary

      We are seeking a proactive, creative and tech-savvy digital administrator to join our friendly team at Llandaff & Pentyrch Surgery. This is a pivotal role that blends digital innovation with patient engagement and internal efficiency. The successful candidate will assist in developing and managing digital communication channels, supporting digital tools within the surgery, and enhancing the patient experience through technology. The candidate will also work as part of a team covering general administrative duties.

      Main duties of the job

      • Social Media & Digital Communication
      • Digital Tools & System Support within the surgery (knowledge of Vision/Emis) Clinical systems (Vision & Emis)/Data entry templates and protocolsfor clinicians and admin staff

      • Data, Reporting & Compliance:Auditing/QAIF (Quality Assurance and Improvement Framework) reporting requirement/Ensure accurate data entry and reporting alignment with local and national targets

      • Data & Template Management:Create and maintain accurate templates for clinical and non clinical data entry

      • Support Staff Training
      • Administrative general duties

      About us

      Llandaff & Pentyrch is a busy surgery with 7,681 registered patients. The main site is based in Llandaff with the branch surgery currently based in a portacabin in Pentyrch. The branch surgery will be relocating to new premises in the spring of 2026, when it is expected numbers of patients will significantly rise. We have 6 Gp's supported by a wide multi-disciplinary team, working in a supportive and friendly environment. The practice manager is supported by a deputy practice manager. The administrative/reception team are made up of 5.5 WTE members of staff. We are a high achieving, forward thinking practice and always looking at new ways to improve our systems focusing on delivering high quality patient care. Nhs pension scheme available.       Job description

      Job responsibilities

      1. Social Media & Digital Communication

      • Develop and implement a social media strategy to enhance patient engagement.
      • Manage and monitor social media platforms (e.g., Facebook, Twitter/X) with appropriate tone and frequency.
      • Create content for public health campaigns, service changes, and community updates

      2. Digital Tools & Systems Support

      • Support the implementation and optimisation of digital tools within the surgery, including:
        • Clinical systems (e.g., Vision, EMIS, or SystmOne).
        • Text messaging platforms for appointment reminders, recalls, and health messaging.
        • Data entry templates and protocols for clinicians and admin staff.
      • Liaise with system suppliers and NHS IT teams to troubleshoot and escalate issues.

      3. Data, Reporting & Compliance

      • Design and run regular reports to support:
        • Legislative compliance and regulatory audits.
        • QAIF (Quality Assurance and Improvement Framework) reporting requirements.
        • Access and demand monitoring, including appointment availability and response times.
      • Provide clear, actionable data insights to the management team to inform decision-making.
      • Collaborate with clinical and admin teams to ensure accurate data entry and reporting alignment with local and national targets.

      4. Data & Template Management

      • Create and maintain accurate templates for clinical documentation and data entry.
      • Assist in the development of reporting tools and dashboards where required.
      • Ensure data collection processes support QOF, enhanced services, and local audits.

      5. Staff Support & Training

      • Provide basic digital skills training and support to staff as needed.
      • Work collaboratively with admin and clinical teams to identify digital improvement areas.
      • Encourage digital adoption and support change management initiatives.
