      Job summary

      We are seeking to recruit a full-time candidate with the appropriate skills to join our reception & administration team.

      The successful applicant will be responsible for front of house services & patient signposting at the reception desk, as well as back office administration duties. Their time will be split between the reception desk & administration office.

      Candidates must be enthusiastic, caring & patient focused, & share our passion for patient care & wellbeing.

      Previous experience is desirable but not essential as full training will be provided for all aspects involved in the role.

      Main duties of the job

      All aspects of reception & administration duties within a GP Practice including, but not limited to:

      • Dealing with patient queries by telephone, online platforms & in person
      • Processing of incoming & outgoing documents, emails, requests & patient contacts
      • Assisting all members of the Practice team as needed
      • Adhering to all Practice policies & procedures including Health & Safety, Confidentiality, Information Governance, as well as undertaking relevant mandatory training
      • All reasonable tasks as required by Management

      About us

      The Docs is a friendly city centre NHS GP surgery located in Manchester's Gay Village.

      We serve a population of over 14,000 city centre residents & expect this to continue rising with the completion of many residential developments in Manchester.

      We completed a full refurbishment of the surgery in late 2023 including the addition of two new floors, & began occupancy at a shared surgery site within the city (New Jackson Medical Centre) to help cater for the ever increasing city centre population.

      Job description

      Job responsibilities

      The job role includes, but is not restricted to, the following duties:

      • Opening up/locking-up of Practice premises & maintaining security in accordance with Practice protocols
      • Maintaining & monitoring the Practice appointments system
      • Processing personal & telephone requests for appointments, visits and telephone consultations, & ensuring callers are directed to the appropriate healthcare professional
      • Processing & distributing incoming (and outgoing) mail, both physical & electronic
      • Taking messages & passing on information
      • Ensuring referrals to external organisations are sent in a timely manner & followed up as appropriate
      • Processing repeat prescriptions in accordance with Practice guidelines
      • Computer data entry/data allocation & collation; processing & recording information in accordance with Practice procedures
      • Initiating contact with & responding to requests from patients, other team members & associated healthcare agencies and providers
      • Ordering, re-ordering & monitoring of stationery and other supplies
      • Assisting clinicians with chaperone duties following chaperone training completion
      • Adhere to Practice Policies & Procedures, & Employee Handbook conditions
      • Attend monthly staff training for mandatory training
      • Any other reasonable tasks requested by Management
