      Role summary
      Create a welcoming first impression for every visitor and caller at athenahealth’s Austin, TX office. This in-person position oversees the reception area, coordinates front-desk operations, and supports office services projects. The Receptionist reports to the Office Services Manager.

      Team summary
      Office Services ensures our physical workplaces operate smoothly, safely, and efficiently. The reception function answers the main company phone line, greets and badges visitors, and monitors lobby security. In partnership with athenaEnvironment project teams, the group also administers global access-control systems, coordinates space requests, and provides logistical support for site initiatives that enhance the employee experience.

      Essential Job Responsibilities

      • Greet visitors, verify credentials, and issue badges in accordance with security procedures.

      • Answer and route incoming calls, emails, and service requests to the appropriate contacts.

      • Maintain an orderly, professional reception area and manage daily mail, packages, and courier pickups.

      • Monitor lobby access and camera feeds; escalate any security concerns to Facilities and Security.

      • Administer user profiles in the electronic access-control system, processing new hires, terminations, and access changes.

      • Coordinate conference-room reservations and on-site event logistics, ensuring resources are in place.

      • Support athenaEnvironment project managers with data entry, document preparation, and status tracking.

      • Assist with minor office repairs to maintain the safety and functionality of workstations and office infrastructure.

        Perform other duties as assigned by manager

      Additional Job Responsibilities

      • Order and replenish office and pantry supplies within assigned budget guidelines.

      • Assist with emergency drills and incident response documentation.

      • Generate weekly visitor and access reports for Facilities leadership.

      • Liaise with building management for maintenance tickets and vendor access.

      • Update reception process guides and contribute ideas for continuous improvement.

      • Provide backup coverage for mailroom or other administrative teammates as needed.

      Expected Education & Experience

      • High school diploma or equivalent; associate degree or higher is a plus.

      • 2+ years of professional experience in a front-desk, customer service, or administrative role.

      • Demonstrated customer service skills with a focus on clear, courteous communication.

      • Proficiency with basic office software (e.g., Microsoft Outlook, Word, Excel).

      • Familiarity with electronic access-control or visitor-management systems preferred.
