Job Description

- Greet and assist visitors in a professional and friendly manner
- Answer and direct incoming phone calls
- Monitor and respond to the front desk/intercom or doorbell system (Ring)
- Handle appointments
- Maintain and reserve the front office conference room calendar
- Process outgoing mail
- Sort, Scan, and distribute incoming mail
- Coordinate mailings of notices and community communications
- Print and laminate community notices or internal postings as needed
- Monitor and manage the company’s general email inbox, ensuring timely and thorough follow-up or redirection
- Regularly restock office supplies, including:
- Printer paper and toner
- Pitney Bowes postage machine supplies
- Mailing labels and envelopes
- Coordinate supply orders and maintain inventory with office coordinator
- Ensure equipment is functional and notify appropriate staff of maintenance needs
- Pickup and drop-off tasks as assigned (e.g., fobs, checks, folder etc)
- Support team members with document preparation or administrative tasks as needed
- Keep kitchen area clean, organized, and stocked (e.g., coffee, utensils, paper products)
- Maintain cleanliness of shared spaces
- Professional communication skills (phone, interpersonal, written, verbal, etc.).
- Professional customer service skills.
- Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level.
- Knowledge of general office equipment (copier, fax, phone systems, etc.).
- Confidentiality and discretion in the performance of all duties and responsibilities.
- Self-motivated, proactive, detail oriented and a team player.
- High School Diploma or GED Required.
- 1 -- 3 years of directly related or closely related experience

As our Receptionist, you’ll play a key role in supporting our team with clerical and administrative tasks while serving as the primary liaison for Community Managers and homeowners. You’ll also interact with vendors, board members, committee members, and staff from Associa and our branch office.

PLEASE NOTE: This position follows a required on-site schedule, Monday through Friday from 8:00 AM to 5:00 PM. Remote or hybrid work options are not available for this role.
